Position Private Events Sales Coordinator  
Description

The Private Events Sales Coordinator provides crucial administrative support to our events team. This role involves selling and managing private events for groups ranging from 20 to 30 people while assisting the Private Events Sales team in selling and managing all private events. Responsibilities include selling to small groups, communicating with clients, conducting site visits, generating reports, coordinating schedules, placing orders, making & responding to phone calls/messages, and supporting sales efforts for groups in various sizes. The Private Events Sales coordinator reports directly to the Director of Private Events Sales.

RESPONSIBILITIES AND DUTIES:

  • Oversee the day-to-day office operations and provide administrative support to the Private Events Sales team.

  • Route inquiries to the appropriate team members and departments timely.

  • Conduct site visits with clients and communicate effectively with them.

  • Sell and manage smaller groups of up to 30 people.

  • Answer leads and manage private events as directed.

  • Distribute all internal and external correspondence timely.

  • Assist all department team members with Information Systems support.

  • Potentially assist with processing payments as directed in a timely manner.

  • Track payment statuses for all events with Sales Managers.

  • Follow up on all accounts receivable and accounts payable with Accounting & Finance.

  • Generate reports as requested.

  • TripleSeat management such as closing out events in TripleSeat after reviewing expenses and ensuring invoices are accounted for.

  • Maintain a supply of assembled sales kits and collateral materials in collaboration with the marketing team.

  • Update sales kit inserts and menus as needed in collaboration with the marketing team.

  • Handle special projects as assigned.

  • Distribute final contracted BEOs to the distribution list.

  • Organize the sharing of BEOs for the weekly meeting.

  • Be available to respond to time-sensitive matters.

  • Exhibit ART! (AREA15’s service standards) at all times.

  • Perform all other work-related duties as assigned.

Position Requirements

QUALIFICATIONS & SKILLS

  • Minimum (2) two years experience of Sales Coordinator experience.

  • Proficiency in Microsoft Suite.

  • Working understanding of accounting.

  • Comprehensive knowledge of food and beverage preparations, service standards, and guest relations.

  • Strong organizational skills, with the ability to manage a wide variety of activities in a fast-paced, multitasking environment.

  • Excellent interpersonal, communication, team-building, and problem-solving skills.

  • Experience in heavy clerical and guest service roles.

  • Familiarity with all appropriate table settings and etiquette.

  • Basic mathematical skills.

  • Strong written and verbal communication skills.

  • Self-motivated with excellent organizational skills and attention to detail.

  • Ability to work in a fast-paced environment, multitask, prioritize, and collaborate closely with multiple business units.

  • Flexibility to work a schedule that includes extended hours, weekends, and holidays.

  • Ability to lift 25 lbs.

  • Adaptability to work in an environment subject to extreme weather conditions and varying levels of noise, crowds, and flashing lights.

  • Physical ability to stand, walk, bend, and lift for extended periods.

  • Proficiency in the English language.

  • High school diploma or equivalent.

  • Bachelor’s degree with an emphasis on sales, hospitality, food/beverage, business administration, or a related field is preferred.

  • Authorization to work in the US.
