Position Office Desk Receptionist

The Office Desk Receptionist plays a pivotal role in maintaining the seamless operation of our management office environment. This position involves a diverse range of clerical and administrative responsibilities, all executed in alignment with departmental standards, policies, and procedures. All duties to be professionally performed in accordance with company policy and procedures. The position is non-exempt and reports to the Director of Facilities.


  • Be the welcoming, hospitable face and voice of the AREA15 Management Office by greeting visitors, clients, and colleagues with warmth and professionalism. Ensure that all communal areas and shared spaces are consistently kept clean, neat, and restocked for all.

  • Provide administrative assistance to ensure the efficient functioning of the office, including answering phone calls, updating calendars, scheduling appointments, generating reports, producing creative collateral, ordering and maintaining office supplies within the provided budget.

  • Actively participate in routine tenant meetings, capture notes and summarize discussions

  • Timely handle all office operations as assigned including but not limited to monitoring conference room activity/schedule, monitoring and reporting facility operations such as proper cooling, heating, plumbing, and strive for more sustainable practices by effectively reporting utility consumption.

  • Contribute to the overall productivity of the office by assisting with tasks such as data entry, correspondence, departmental support, and other various tasks.

  • Assist in the organization and maintenance of important documents, records, and files, ensuring accessibility and accuracy when needed.

  • Receive and distribute office mail to various departments.

  • Help facilitate meetings, conferences, and events by arranging logistics, preparing meeting rooms daily, and coordinating schedules.

  • Act as a central point of contact for internal and external inquiries, directing them to the appropriate parties or departments, and maintain confidentiality and handle sensitive information with discretion.

  • Ensure to respond to requests in a timely manner

  • Perform other work-related duties as assigned.

  • Must exhibit “ART!” to internal and external guests at all times.

  • Maintain a professional, neat, and well-groomed appearance, adhering to AREA15 standards.

  • Work various shifts, including nights, weekends, and holidays.

Position Requirements


  • Applicants must be 21 years of age or older

  • Proof of eligibility to work in the United States

  • Administrative reporting skills desired

  • Comfortable working in a creative, entrepreneurial start-up environment, introducing new concepts and innovations.

  • A welcoming and professional demeanor.

  • Notary Public preferred

  • 1-3 years of administrative or receptionist experience is a plus.

  • Ability to work independently, handle multiple projects, and produce results within a reasonable time and by the due date.

  • Must be a self-starter and have the desire and ability to work independently as well as within a team

  • Strong verbal and written communication skills.

  • Proficiency in Microsoft office software and communication tools such as Sharepoint, One Drive, Teams, Word, Excel, PowerPoint, and more.

  • Familiarity with standard office equipment such as copiers, printers, etc.

  • Exceptional organizational and multitasking abilities, paying attention to details.

  • Strong interpersonal and customer service skills for effective communication.

  • Administrative writing and reporting skills.

  • Excellent time management skills with a proven ability to meet deadlines.

  • Must be able to work in the office environment for a prolonged periods of time

  • Ability to commute between office and venue(s) as often as needed.

  • Availability for varied shifts, including evenings, weekends, and holidays.

  • Ability to work in an environment subject to varying levels of noise, crowds, flashing lights, and smoke.

  • Must have the ability to withstand high temperatures, heat, and sun exposure

  • Valid driver's license with a safe driving history

  • Ability to stand, walk, climb stairs and reach with hands and arms.

  • Ability to lift and move up to 50 pounds independently.
