Job Summary:

The Executive Administrator will oversee the general administrative function and activities of the office.

Supervisory Responsibilities:

  • Oversees the day-to-day work activities of the office.

Duties/Responsibilities:

  • Answering phone calls and emails from customers and clients and directing them to relevant staff
  • Performs or facilitates maintenance of office equipment, including cleaning, maintenance, and repairs to ensure the office is kept clean and safe.
  • Provides clerical support when needed to assist clerical staff with assigned administrative duties such as answering phones, sorting and distributing mail, and preparing documents.
  • Oversees petty cash fund.
  • Maintains inventory of office supplies; orders new supplies as needed.
  • Maintains office files; implements an efficient system for other staff to access files and records when needed.
  • Creating and maintaining an office budget and ensuring all employees follow it
  • Planning of any on site meetings and events
  • Performs other related duties as assigned.

 
Position Requirements

Required Skills/Abilities:

  • Ability to type at least 60 words per minute.
  • Extensive knowledge of office management procedures.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills, with proven ability to meet deadlines.
  • Proficient with Microsoft Office Suite or related software.

Education and Experience:

  • High school diploma or equivalent required; Bachelor’s degree in office administration or related field preferred.
  • At least three years of administrative and clerical experience required.

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.

Work environment: Employees must be able to travel to and attend the office to work in person, as required. The noise level in the work environment is usually minimal to moderate.
