Job Summary

Provides a variety of administrative support to all programs within the Public Health Department to ensure organized and effective functioning of the department. This position will ensure that the department is meeting all essential organizational deadlines, reports and other requests. Additionally, they will be responsible for coordinating departmental meetings and employee leave schedules, travel requests, purchase requisitions and supply ordering. This position will assist with coordinating schedules, referrals, and patient check-in. All duties and responsibilities will be performed in accordance with the Yellowhawk Mission and Vision statements.

Essential Job Functions:

  1. Greets all patients/visitors/staff in a prompt and pleasant manner. Answers the main department telephone line promptly and in a professional, trauma informed manner. Refers patients/visitors/staff and telephone calls to appropriate individuals.
  2. Assists the Public Health staff in maintaining a master appointment schedule for all appointments, checks patients in and directs them how to proceed. Processes consults and referrals in the Electronic Health Record for Public Health programs to ensure timely scheduling of services.
  3. Maintains department employee schedules and coordinates scheduling with the department managers.
  4. Assists the department director in compiling information for department reports such as: Health Commission, General Council, Board of Trustees and monthly CEO reports.
  5. Maintains, organizes and updates department forms, files, reference materials and policies as necessary. Collaborate with Yellowhawk Public Relations Department for the creation of all print materials utilizing the Communications Policies in place.
  6. Provides support for department meetings, including scheduling space and preparation of meeting materials as requested by meeting facilitator.
  7. Prepares travel advance requests, expenditure reports, and purchase requisitions for the department. Purchases needed supplies for the department and its programs.
  8. Participates in department Quality Improvement projects including survey response entry into Survey Monkey or similar software.
  9. Organizes and manages Public Health storage rooms and meeting room. Aids Program Managers in maintaining and tracking of accurate inventory.
  10. Provides departmental orientation for new hires, under the guidance of the department managers and the director.
  11. Other duties as assigned.
 
Position Requirements

Minimum Qualifications:

  1. Associate’s degree in office administration, business, health related field, or human services related field with one (1) year progressively responsible experience to the work of this position.

OR

High school diploma or equivalent, with two (2) years progressively responsible experience to the work of this position.

  1. Demonstrated experience with Microsoft Office programs and/or other relevant software to meet the needs of the various programs.
  2. Demonstrate high-level organizational skills.
  3. Demonstrate knowledge of standard office administrative practices and procedures.
  4. Demonstrated ability to manage multiple tasks at once.
  5. Ability to provide excellent customer service while attending to multiple staff and client needs.
  6. Must submit to and pass a reference and criminal background check and a pre-employment drug and alcohol screening.
  7. Must possess a valid state driver’s license, meet, and maintain insurance requirements to operate General Services Administration vehicles.
  8. Must submit proof of COVID-19 vaccination.

Preferred Qualifications:

  1. Strongly prefer experience effectively managing an office, department, or program in a healthcare environment.
  2. Experience working in a Tribal community or Tribal organization.
