Position Title: Clubhouse Services Specialist/Receptionist Location: Firestone, CO
Reporting To: General Manager
Status: Non-Exempt, Part-Time
Salary: $24-$25/hour

EMPLOYEE OWNER POSITION PURPOSE:

The Clubhouse Services Specialist is responsible for partnering with the Barefoot Lakes General Manager and our Company to fulfill obligations of the management contract in conjunction with the goals and objectives of the Board. Key areas of focus include face-to-face customer support and service, various day-to-day operations support, customer concern resolution. This is a support position that requires a commitment to delivering an exceptional customer experience.

JOB DUTIES AND RESPONSIBILITIES:

  • Greet and welcome guests as soon as they arrive at the Clubhouse
  • Direct homeowners and visitors to the appropriate person or area
  • Answer and/or forward incoming phone calls
  • Receive and sort daily mail and deliveries
  • Providing basic and accurate information in-person and via phone or email
  • Scheduling appointments for staff or customers
  • Maintaining clubhouse security by following safety procedures and controlling access via the reception desk
  • Ordering clubhouse supplies and keeping inventory of stock
  • Maintain and stock coffee and snack station
  • Ensure cleanliness of the clubhouse at all time
    • Sweep/mop floors, dust, wipe/clean surfaces as needed. Clean windows as needed.
  • Assist with concession stand sales and staffing during summer season
  • Assist the Lifestyle Director with community sponsored events.
  • Maintain community calendar together with the Lifestyle Director.
  • Provide owners with owner ledgers and assist owners in navigating the web portal
  • Assist owners in registering their accounts on the web portal
  • Provide exceptional customer serve within a large-scale community onsite that includes single family homes and a wide range of community and recreational facilities
  • Provide management services in compliance with the terms of the management contract and the Association's governing documents
  • Assist homeowners with problem resolution
  • Respect and nurture all aspects of the client's relationship
  • Work as part of a team with accountability to management for the end result achieved
  • Demonstrate a positive attitude and ownership mentality; we believe each employee can build his/her own future
  • During Summer Season - Regularly inspect the pool area and locker rooms for safety and cleanliness as per the provided checklist
  • Other duties and special projects as assigned

QUALIFICATIONS:

  • High school diploma or equivalent
  • Customer service skills and a friendly and professional demeanor
  • Ability to work flexible hours, including weekends, holidays and nights
  • Knowledge of the Clubhouse's products and services
  • Solid knowledge of Microsoft Outlook, Excel, and Word
  • Ability to meet deadlines and address time-sensitive issues
  • Superior multi-tasking skills
  • Excellent verbal communication
  • Ability to provide excellent customer service with astute attention to detail and organization
  • Must be a team player
  • Willing to learn Company process and procedures, and learn/use proprietary software
  • Adaptable and dependable with a solid attendance record
  • Professional and respectful demeanor with all residents, the Board, staff and guests at all times

SPECIAL POSITION REQUIREMENTS:

  • Must have and maintain a valid driver's license, vehicle insurance, and driving record in compliance with Company policy

ESSENTIAL FUNCTIONS:

  • Use standard office equipment, including: computer, phone, copier/scanner, etc.
  • Be stationary for periods of time
  • Relocate up to (25) pounds
  • Travel to and from offsite locations

SCHEDULE & TRAVEL:

  • 19 hours per week
  • This position may require occasional overtime to meet business needs, including weekends and holidays
