Description

Position Objective: Assist the accounting department in providing accurate and timely financial information to enable staff and leadership to advance the mission of the Museum.

 

Responsibilities

  • In all activities, the Accounting Specialist – Accounts Payable is expected to act ethically and with attention to detail that supports the integrity and the timeliness of financial reporting to management, board of directors, government agencies, and grantor organizations.
  • Review all invoices and payment requests for appropriate documentation and approval prior to processing, enter invoices daily into accounting software, including those paid by wire, auto draft, or other cash disbursement methods.
  • Process weekly AP check runs, ensure timely payment of all invoices, obtain signatures for checks, distribute/mail checks accordingly, and upload ACH file to bank’s website.
  • Administer company credit card program by overseeing the timely receipt and activation of new cards, processing card limit changes, and promptly canceling cards upon employee termination, as well as training staff on proper use of the credit card site.
  • Audit and process company credit card accounts, ensuring all necessary receipts and documentation are submitted, and review account coding for accuracy and completeness. Upload credit card data into AP vendor files for posting to the general ledger.
  • Manage vendor 1099 requests and maintenance.
  • Respond to all vendor inquiries and requests.
  • Reconcile vendor statements, research and correct discrepancies as required.
  • Maintain accounts payable files and documentation electronically, timely, and accurately.
  • Maintain electronic files of invoices by status (paid, ready to pay, and needing approvals).
  • Maintain records of sales tax paid by contractors for inclusion in semi-annual sales tax refund requests. Prepare and submit refund requests, allocating taxes to appropriate county and including sales tax paid by contractors on construction projects.
  • Develop and maintain documentation regarding appropriate payables procedures. Train employees and supervisors in such procedures.
  • Reconcile general ledger AP accounts and confirm aging reports are correct.
  • Update various Excel spreadsheets and schedules with internal and external data.
  • Assist the Sr. Accounting Specialist and Controller with special projects and monthly reporting.
  • Backup the Payroll Specialist as needed.
  • Always demonstrate adherence to Museum safety procedures.
  • Engage with Museum visitors in a positive and helpful way to support an enjoyable and safe guest experience.
  • Prioritize the Museum’s values of inclusion and kindness in all interactions with staff, volunteers, and guests.
  • Additional duties as assigned.

 

Actual Pay Rate: $40,000-$48,000/ annually

 
Position Requirements

Required:

  • Three or more years of accounting experience, with an emphasis in accounts payable
  • Ability to perform tasks with a high degree of accuracy and independence
  • Very strong working knowledge of Microsoft Office, particularly Excel
  • Proficient with accounting software, understand accounting concepts, and comfortable working in a paperless, digital environment
  • Strong attention to detail
  • Knowledge of accounts payable/general ledger systems and procedures, financial chart of accounts, and generally accepted accounting principles
  • Ability to troubleshoot, follow up, and resolve problems with staff from other departments
  • Strong planning, multi-tasking, and organizational skills to balance and prioritize duties
  • Willingness to stay updated on industry trends, best practices, and emerging technologies in accounts payable
  • Excellent communication skills, both written and verbal, for interacting with outside vendors and staff
  • Enthusiasm for supporting staff across the organization

 

Desired:

  • Non-profit or government experience
  • Associate degree or higher in accounting or related field
  • Payroll and accounts receivable experience
  • Demonstrated ability to improve workflows and enhance efficiencies
  • Experience with non-profit general ledger software solutions, such as MIP, Sage Intacct, or NetSuite
  • Experience with grant reporting strongly preferred
