Location: Cathedral Springs, CA at Desert Princess Country Club
Reporting To: Assistant General Manager
Status: Non-Exempt, Full-Time
Salary: $18.00 - $21.00/hr

EMPLOYEE OWNER POSITION PURPOSE:

The Operations Administrator is responsible for ensuring the smooth and efficient day-to-day administration and execution of multiple operations.  The Operations Administrator will work in a cross-functional role assisting with multiple departments within the community with a primary focus on Accounts Receivable.

JOB DUTIES AND RESPONSIBILITIES:

  • Processing of Accounts Receivable, AR
  • Ongoing reconciliation of Country Club Accounts
  • Assist the team in attending to all functions of the Community Office
  • Enter a variety of information into computer programs
  • Answering phone calls in a professional manner
  • Comply with all State, Local and Federal Fair Housing and ADA laws.
  • Interface with internal personnel, homeowners, vendors, etc. in a professional manner while ensuring client satisfaction with each interaction
  • Collect and count POS cash from the Country Club safe; prepare bank deposits for courier pickup
  • Research and resolve POS cash discrepancies as well as reconcile and close account daily
  • Copy and file Country Club gift certificates
  • Manage petty cash for the HOA and Country Club (distribution and replenishment)
  • Issue cash banks for the Food & Beverage/Golf departments and audit banks periodically
  • Prepare miscellaneous deposits, journal entries, and monthly utility billing
  • Provide backup support for Accounts Payable
  • Create and distribute new homeowner files as well as other administrative duties as needed/assigned
  • Support the Controller in managing homeowner accounts and member services (i.e. general customer service, statement and other correspondence preparation, etc.)
  • Export daily Jonas (POS) general ledger to CSV file for Controller and upload to/update The Management Trust's Accounting software
  • Assistance with project implementation.
  • Facilitation and maintenance of E.V. Charging Station Project
  • Assist management with resident functions and other related activities
  • Other duties and special projects as assigned

QUALIFICATIONS:

  • Experience and/or education in Accounting/Bookkeeping and Customer Service; bachelor’s degree in accounting highly preferred
  • Proficient in Microsoft Word, Excel, and Outlook, and internet browsers
  • Ability to quickly grasp new Accounting software
  • Ability to work independently and as part of team
  • Ability to prioritize and manage multiple projects while meeting deadlines (critical)
  • Strong organizational skills, keen attention to detail, and proactive thinking
  • Ability to communicate with professionalism and clarity Strong work ethic and commitment to the department/Company's objectives
  • Jonas software experience is a plus

SPECIAL POSITION REQUIREMENTS:

  • Must have and maintain a valid driver’s license, vehicle insurance, and driving record in compliance with Company policy

ESSENTIAL FUNCTIONS:

  • Use standard office equipment, including computer, phone, copier/scanner, etc.
  • Be stationary for periods of time
  • Relocate up to (25) pounds
  • Travel to and from offsite locations

SCHEDULE & TRAVEL:

  • Monday - Friday 7:30am – 4:00pm
  • This position may require occasional long hours to meet business needs
