About the Organization Founded in 1996 by parents who sought the very best treatment available to deliver opportunities to children and adolescents living with autism spectrum disorder (ASD), Minnesota Autism Center (MAC) provides therapeutic services for children ages 18 months to 21 years who have ASD.



MAC's services are center-based and in-home, and include speech and occupational therapy, assessment and diagnosis services, and individual and family therapy. At any given time, MAC serves approximately 370-400 clients throughout Minnesota at 17 centers located in Eagan, Eden Prairie, Maple Grove, Fridley, Vadnais Heights, Minnetonka, Woodbury, Duluth, Virginia, Mankato, Rochester, Red Wing, New Ulm, Medford, Hutchinson and Cambridge.

Position Summary:

MAC is seeking a dynamic and highly organized professional to provide support to manage the administrative functions of the corporate office, including providing Executive-level administrative assistance to the CEO. The ideal candidate will be a proactive and efficient professional capable of handling a wide range of administrative and executive support tasks. This role is crucial to ensuring the smooth operation of the CEO's office and the overall success of MAC's mission.

 

Key Responsibilities:

  • CEO Executive Administrative Support
  • Support the CEO as directed, ensuring that organizational goals and objectives are accomplished
  • Coordinate calendar management for the CEO, scheduling appointments, meetings, and travel arrangements
  • Manage the content and flow of information to the executive, ensuring timely and accurate communication
  • Organize and attend Board of Directors meetings with the executive, assisting with agenda preparation and follow-up actions
  • Organize and attend other meetings as assigned in a similar capacity
  • Conduct oneself with a high level of professionalism and confidentiality

 

 

Office Management

  • Provide on-site support in our corporate office including but not limited to:
  • Answering phones and emails from customers and clients, directing them to relevant staff
  • Maintaining office equipment tracking and inventory, in collaboration with IT and center directors
    • Sign for packages, general mailings, and first point of contact for in-person client visits
    • Handle memos, reports, invoices, and related documents, including sensitive and confidential information.
    • Provide support in handling complex clerical, administrative, technical, or client support issues with minimal supervision including responsibility for EIDBI paperwork, follow-up, and reconciliation in collaboration with Human Resources, Credentialing, and Finance
  • Serve as the primary point of contact between the CEO and internal/external stakeholders, demonstrating a high level of professionalism
  • Prepare and edit correspondence, reports, presentations, and other documents
  • Assist in project management and follow-up on action items from meetings
  • Conduct research and gather information as needed to support decision-making and project execution
  • Prepare and submit expense reports and track budget-related activities
  • Collaborate with other team members to ensure efficient communication and workflow within the organization
  • Other duties as assigned

Position Requirements

Qualifications:

  • Bachelor's degree preferred, but not required
  • Proven experience as an executive assistant, office manager, or similar high-level administrative role
  • Strong organizational and multitasking skills, with keen attention to detail
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Ability to maintain a high level of professionalism and confidentiality
  • Strong interpersonal skills and the ability to build relationships with diverse stakeholders
  • Highly adaptable and capable of working in a fast-paced environment
  • Self-motivated and able to work both independently and as part of a team
