Description

The Executive Administrative Receptionist plays a pivotal role in maintaining the seamless operation of our office environment. This position involves a diverse range of clerical and administrative responsibilities, all executed in alignment with departmental standards, policies, and procedures.

All duties to be performed in accordance with company policy and procedures. The position is nonexempt and reports to the director of facilities.

JOB RESPONSIBILITIES AND DUTIES:

  • Frontline Ambassador: Be the welcoming face and voice of AREA15, greeting visitors, clients, and colleagues with warmth and professionalism.
  • Administrative Support: Provide crucial administrative assistance to ensure the efficient functioning of the office, including managing phone calls, scheduling appointments, and maintaining office supplies.
  • Vendor Partner Support: Respond to vendor partners’ inquiries and direct them to the right point of contact. Be liaison between vendor partners and AREA15 in communications. Participate in the routine vendor meetings, take notes, and send participants a meeting summary.
  • Documentation Management: Assist in the organization and maintenance of important documents, records, and files, ensuring accessibility and accuracy when needed.
  • Meeting Coordination: Help facilitate meetings, conferences, and events by arranging logistics, preparing meeting rooms, and coordinating schedules. Manage calendars and schedule appointments.
  • Communication Liaison: Act as a central point of contact for internal and external inquiries, directing them to the appropriate parties or departments.
  • Office Efficiency: Contribute to the overall productivity of the office by assisting with tasks such as data entry, correspondence, and handling mail.
  • Compliance: Ensure that all assigned tasks are carried out in strict accordance with company policies and procedures, adhering to established guidelines and best practices.
  • Perform other work-related duties as assigned.
  • Must exhibit “ART!” to internal and external guests at all times.

Position Requirements

QUALIFICATIONS & SKILLS:

  • Ability to work varied shifts, including weekends and holidays.
  • Strong verbal and written communication skills
  • Proficiency in Micrsoft office software and communication tools.
  • Exceptional organizational and multitasking abilities, paying attention to details.
  • Strong interpersonal and customer service skills for effective communication.
  • Administrative writing skills.
  • Excellent time management skills with a proven ability to meet deadlines.
  • A welcoming and professional demeanor.
  • Ensure that the Receptionist area is kept clean and neat for all incoming visitors
  • Previous administrative or receptionist experience is a plus.
  • Applicants must be 21 years of age or older.
  • Proof of eligibility to work in the United States
  • Must be able to work in the office environment: The role primarily takes place in a modern office setting within AREA15, providing a comfortable and professional work environment. The working conditions may include extreme weather conditions occasionally for special projects and events.
