Job Summary:

Responsible for the maintenance and repair of the hotel buildings, grounds and contents, and for the efficient and safe operation of all plant equipment. Responsible for managing and implementing all projects of repair and maintenance, and capital expenditure. To perform all engineering manager duties directed from the Chief and Assistant Chief Engineers. Manage, guide and hold accountable all employees. Motivate, praise, and create a positive work environment in the department. To manage all projects in the department, to include but not limited to, day to day guest items, hotel projects, maintenance and repair, hotel refurbishments and renovations, etc.

Essential Functions:

  • Organizes and administers the Engineering Department, ensuring that effective work control and productivity are maintained.  Assists with reviewing staffing levels and evaluation of staff.  Directs and supervises the maintenance and repair process to ensure that the building and its contents and surrounding areas meet The Kahala Hotel & Resort standards at all times. 
  • Prepares and administers preventive maintenance schedules for every item of mechanical and electrical plant or equipment, including that of other departments, and fans, pumps, and automatic control systems.
  • Coordinates and supervises the work of service contractors to ensure that the terms of all contracts for major plant equipment are fully implemented.
  •  Conducts frequent inspection tours to check condition of building and equipment, and to monitor work in progress
  •  Maintains contact with local authorities such as fire department, electric company, board of water supply, city building and state health inspectors, to ensure that all requirements are being met and that assistance will be readily available
  •  Acts as project manager in working with other department heads as necessary.  Ensures that proper stock levels are maintained, including lists of spare parts and materials required for the continued correct functioning of all plant and equipment items, and issues purchase requests as appropriate
  •  Assists and participates in the hiring process and decision making of engineering applicants.  Assists with the preparations and completions of annual performance appraisals for approval and may review with each colleague in a timely manner.  Establishes and maintains a professional, trained and motivated staff through effective implementation of performance and career-development programs
  • Enforces established departmental and hotel policy and procedures and performs disciplinary actions as necessary
  • Maintains records, files and forms on all payroll related information for union colleagues as well as update Timesaver to ensure accurate payroll processing
  • Studies and arranges for the implementation of all relevant Kahala Hotel & Resort policies and procedures and allied directives, particularly those relating to fire, life and safety, energy control and management, and budget preparation and control
  •  Completes and provides all regular reports and statistics required by the Chief Engineer.  Maintains an efficient record/filing system to track/monitor a variety of projects.
  • Researches, develops and recommends new approaches, policies and procedures to effect continual improvements in efficiency of the department and services performed
  • Leads regular meetings for energy conservation, fire training, employee communication and safety (with Director of Safety and Security).  Meets with other department heads to review current performance of their equipment or to follow up with the status of purchase requests and orders.  Recommends and organizes training and development, as necessary, for the advancement of colleagues with potential for greater responsibilities
  • Performs accounting procedures, creates and maintains files, enters data, orders supplies, schedules appointments, and provides guidance to callers.  Maintains and contributes to a positive work environment.
  • Must handle all projects in the department on a day to day basis. Have engineering knowledge from painting, electrical, maintenance, etc.  Be able to train staff and guide them in a day to day coaching atmosphere.  Must be organized and systematic with all projects and engineering issues that arise.
  • Reads and routes incoming mail; prepares outgoing mail.  Composes and types routine correspondence and statistical reports plus files correspondence and other records with high level of organization. 
  • Answers calls and provides information to callers or routes call to appropriate official and places outgoing calls. Maintains organized records of equipment manuals and drawings.  Performs field verifications of database records. Sort invoices, code to department allocation and submit for payment. Ensures compliance with organization’s accounting procedures for purchase orders, invoices, expense reports, budget estimates and all other related items. Work closely with accounting to ensure department works within budget.
  • Greets visitors, ascertains nature of business, and conducts visitors to the Chief Engineer or Asst Chief Engineer, or appropriate person.   
  • Utilize communication equipment such as tablets, radios, and phones; and, be able to communicate effectively through written routine reports and correspondence as well as to speak effectively before managers, clients, employees and the general public.
  • Maintain and ensure compliance of instructions, safety rules, and procedure manuals.
  • Receives and responds to maintenance requests by radio dispatching, email, phone or locating Maintenance personnel on priority basis to accommodate the customers’ needs in a timely manner.
  • Track and print preventive maintenance (PM) schedules, maintaining equipment record database. Manage the PVM program with co-departments and engineering employees to ensure it is consistent and up to standard.
  • Types and approve purchase orders and purchase requisitions and routes to appropriate offices, prepares invoices for payment and maintains all purchase files and Engineer’s Budget Expenditure Book.
  • Prepares and sign off on departmental payroll; work schedules; maintains staff training records, manuals, and personnel files; and records the minutes of staff meetings.
  • Maintains, organizes and files, shift logs related to dispatcher duties and a daily activity file containing, but not limited to, competed work tickets, event orders, PBX dispatch reports, daily work ticket tallies and the Engineer’s shift log. 
  • Must be able to define problems, collect data, establish facts, and draw valid conclusions as well as solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.  Also able to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
 
Position Requirements

Experience, Education and Training:

  • High School Diploma or General Education Diploma required.
  • College degree in mechanical /electrical or similar field preferred.
  • Three (3) to five (5) years previous management experience in facilities management or related field preferred.
  • Previous experience in a first-class, medium to large resort preferred

Licenses/Certifications:

  • CPR and Standard First Aid Certification preferred.
  • Environmental Protection Agency (EPA) certificate (technician) preferred.

Communication Requirements:

  • Ability to communicate effectively in English both verbally and in writing.
  • Ability to effectively deal with internal and external customers, some of whom will require high levels of maturity, patience, tact and diplomacy to diffuse anger, collect accurate information and resolve conflicts.

Physical Requirements:

  • Ability to stand/walk for up to 4 hours and sit, for at least 4 hours a day.  Walking will require movement throughout the entire facility, both indoors and outdoors.
  • Ability to occasionally bend, squat, kneel, climb, reach above shoulders and perform repetitive hand motions.
  • Ability to occasionally lift/carry a maximum of 50 pounds
  • Ability to move throughout the work area while performing the essential job functions of the position.  Ability to walk intermittently throughout the day for up to one mile per day and/or 2-3 hours per day.
  • Ability to climb a ladder and ascend up to 20 feet. 
  • Ability to squat and crawl for brief periods to inspect, instruct or repair physical plant or equipment.
  • Ability to work indoors and outdoors.

Other Requirements:

  • Ability to pay attention to detail, work in a fast paced environment, handle multiple tasks and have a high level of patience.
  • Ability to use sound judgment.
  • Ability to comprehend and follow oral and written instructions and procedures.
  • Ability to access, understand and accurately input information using a moderately complex computer system utilizing various software such as Word, Excel and Outlook. Ability to type 45 wpm and use a 10-key calculator.
  • Basic English language communication skills in order to follow written and oral instructions, communicate with co-workers, record information, read and comprehend invoices, purchase orders, reports, logs, work tickets and instructional materials.
  • Be able to calculate figures and amounts such as proportions, percentages, area, circumference, and volume; and to apply concepts of basic algebra, geometry and trigonometry. 
  • Ability to effectively deal with guests or other employees, some of whom will require patience, tact and diplomacy to defuse anger, collect accurate information and solve concerns.
  • Reports all suspicious persons or activities and hazardous or unsafe conditions to the Security Department.
  • Provides instruction and/or guidance for guest and employee safety in fire or other emergency situations.
  • Responds to guest questions and concerns with complete follow-through to ensure and maximize guest satisfaction. Provide guest assistance, direction and information as requested when working in public areas.
  • Ability to work varying shifts and maintain attendance in accordance with the hotel’s attendance policy.
  • Ability to comply with all hotel rules and regulations including policies regarding safety and grooming standards.
  • Must maintain a neat, clean and well-groomed appearance as outlined in the employee handbook.
