Description

Definition and Purpose

Under the direct supervision of the Director - Facilities Management, the Assistant Director – Facility Operations (Recreation Center) is responsible for the oversight of daily facility operations of the Cal Poly Recreation Center including building supervision and custodial operations. This position will also oversee field operations at the Cal Poly Sports Complex and the Doerr Family Field as well as oversee maintenance operations at all ASI managed facilities.

Additionally, all ASI employees are responsible for upholding the core values of the organization including but not limited to exhibiting professional behavior, acting as a role model to others, displaying a positive and cooperative attitude, communicating effectively, developing expert knowledge in area of specialization, and working together as a team.

 

Educational and Qualifying Experience, Skills, Licenses, Credentials

Educational/License/Credential Requirements

  • Graduation from a four-year college or university.
  • Master’s degree preferred (4 years applicable experience may be substituted for educational requirement).
  • Current American Red Cross certification in the following: Adult CPR, AED, and First Aid.
  • Must hold a CA Driver's License with a driving record acceptable to ASI insurance underwriters.

 

Experience Requirements

  • Minimum five (5) years of experience that demonstrates the ability to perform the essential functions of the position, preferably in a college or university setting.
  • Minimum three (3) years' experience coordinating facility operations.
  • Experience in risk management.
  • Experience in budgeting and fiscal management.
  • Supervisory experience required.

 

Knowledge/Skill Requirements

  • Working knowledge of correct English grammar, spelling, and punctuation.
  • General knowledge of office methods, equipment, procedures, and practices.
  • Knowledge of Windows-based computer systems.
  • Ability to effectively communicate both orally and written; strong public speaking ability.
  • Ability to initiate, establish, and foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere.
  • Ability to establish and maintain effective working relationships within a diverse population and with those from various cultural backgrounds, specific needs, or limitations.

Supervisory Responsibilities

  • Directly supervise the Interim Coordinator – Facility Operations (RS).
  • Directly supervise the Lead Building Service Worker and Building Sevice Workers at the Cal Poly Recreation Center.
  • Directly supervise student staff: Student Facility Supervisors, Student Manager- Facilities, Student Manager- Field Supervision, Student Field Supervisors.
  • Oversee supervision of all subordinate staff within Recreation Center operations.
  • Facilitate meetings, conduct performance evaluations, establish goals, and monitor day-to-day operations.

 

Essential Duties and Responsibilities

Global Duties and Responsibilities

  • Develop, analyze, and implement policies and procedures for Recreation Center.
  • Participate in the development of program-wide student staff selection strategy.
  • Assist in developing and implementing all program-wide meetings, retreats, and workshops for staff training and development.
  • Assist in development, preparation, and monitoring of budget processes.
  • Ensure compliance with all ASI, University, State, and Federal policies/statutes.
  • Conduct research in order to maintain progressive and innovative systems as they relate to campus programming and student development.
  • Periodically provide first aid and CPR training opportunities to ASI staff.

 

Program Administration

  • Develop, produce, and evaluate student activities and programs, including facilities programming.
  • Assist with the development of marketing and promotional campaigns.
  • Advise student leaders, employees, and organization on all programming matters.

 

Operations

  • Oversee daily operations of the Cal Poly Recreation Center, Cal Poly Sports Complex, and Doerr Family Field, to include staffing and support to program and activities that occur within these facilities.
  • Research equipment for purchase, write proposals and memorandums that support purchases.
  • Work with staff to initiate purchases.
  • Serve as the primary liaison with operations vendors at the Recreation Center.
  • Coordinate work schedules and work assignments to meet the overall operations objectives.
  • Assist in the management of established operations budgets.
  • Lead and manage the facility operations team at the Cal Poly Recreation Center.
  • Develop and implement systems for identifying operational needs, project priorities, scheduling, tracking, communication, evaluation, and reporting.
  • Serve as the Building Emergency Response Coordinator (BERC) for the Recreation Center and respond as directed by the Emergency Operations Center (EOC) team.

 

Building Services

  • Ensure custodial standards of the Cal Poly Recreation Center are met and maintained.
  • Coordinate work schedules and work assignments to meet the overall buildings services objectives.
  • Create and conduct ongoing required trainings for staff.
  • Conduct facility cleaning inspections.

 

Maintenence

  • Oversee the maintenance operations for all ASI managed facilities.
  • Evaluate staffing schedules of the Maintenance Technicians across all ASI managed facilities to ensure distribution of workload is meeting the needs of the organization .
  • Monitor electronic ticketing system for maintenance requests, ensuring attention to maintenance issues.
  • Coordinate updates and regular information sharing to requestors on the status of a maintenance request.
  • Train Maintenance technicians on safe maintenance procedures, to include chemical safety, equipment safety, building systems, electrical safety, tool safety, as well as any safety related items that arise.
  • Conduct facility maintenance inspections.

 

Safety

  • Ensure effective program area risk management.
  • Review and revise Recreation Center, Doerr Family Field, and Cal Poly Sports Complex risk management and safety plans.
  • Oversee the Training Room Inventory of CPR/FA equipment.
  • Review all critical incidents that take place within the Recreation Center, Doerr Family Field, and Cal Poly Sports Complex and follow-up as necessary.

  • Oversee ASI’s organizational assessment program, ensuring consistency in all assessment tools and efforts.
  • Develop and execute assessment of programs and/or services for areas of responsibility including, but not limited to, setting, and implementing goals, evaluating outcomes, and ongoing enhancement.
  • Participate in the overall ASI assessment planning and goal setting.

 

NOTE: Some assignment areas for Assistant Directors are fluid and periodically reviewed and revised based on program philosophy, professional development, and staff needs.

 

Other Duties and Responsibilities

  • Represent ASI on committees as appropriate.
  • Attend and participate in meetings as necessary.
  • Ensure continuous professional development.
  • This position is part of a team of ASI essential personnel required to report to their designated work location on campus as soon as practicable during an emergency or when the University has suspended operations.
  • The person holding this position is considered a “mandated reporter” under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in ASI policy as a condition of their employment.
  • Other duties as assigned.

This position is subject to a background check (including criminal records) as well as National Address Locater (Social Security Number [SSN] Trace), 7-year County Criminal Search in each county and/or state the applicant lived in based on the SSN Trace, National Criminal Database Search, Name Search, Employment Verification (All employers in past 7 years) and Education Verification (Highest Degree). Credit Reports, Motor Vehicle Record Check and Professional License Verification may also be required based upon the essential functions of the position.

 

Salary Schedule

  • Starting Salary: $90,432.12
  • Pay Range for the Position: $90,432.12 - $144,691.39
