Position Summary: The Senior Accountant performs and assists with financial and grant operations to support and advance the financial position and good standing of the Agency. The position engages in the daily operations of the accounting department, assuring accurate and timely reporting following generally accepted accounting principles and assures grant conditions compliance. This includes timely preparation and dissemination of grant revenue schedules and related billings, cash receipts processing, grant expenditure reconciliation and reporting, grant allocation schedules of personnel assignments, and grant reporting and compliance. In addition, this role will participate in the monthly close process and reconciliation of accounts, including maintenance of schedules related to revenues by period, by grant, by funder, or other as needed. The position will participate in the annual audit process, grant audits, and other special projects as requested by the Accounting Manager.

These efforts require clear and accurate communications and efficient use of software and systems. This position reports to the Accounting Manager and works closely with the staff accountant, payroll administrator, and administrative coordinator to advance finance and accounting initiatives for the Agency. The position will interact will leaders of other departments in relation to grant activities and other projects.

Primary Responsibilities:

  • Record, reconcile, bill, and report upon grants as assigned by the Accounting Manager. Meet deadlines as assigned by funding agencies and internal requirements. Prepare or oversee preparation of post-award general ledger and supporting spreadsheet schedules for a wide range of government, foundation and corporate grants in accordance with individual grant guidelines. Establish good relationship with contacts at funding agencies.
  • Track agency payroll costs by grant and work with the accounting manager to ensure costs are allocated properly in the system. Maintain a schedule of personnel assignments by grant and update as new hires and terminations or transfers/promotions occur. Work closely with payroll, HR, and accounting to keep schedule current.
  • Record cash receipts related to grant payments received or miscellaneous receipts as assigned.
  • Assist with the preparation of budgets and schedules for new grant or program opportunities. Coordinate with Grant Writer and Data Team.
  • Acts as grantor liaison to resolve accounting reporting and compliance issues. Attends grantor audit meetings and compiles requested audit information.
  • Participate in the monthly closing process as assigned in the monthly close checklist. Includes assistance with monthly reporting for internal and external purposes. Maintain grant budgets and codes within accounting system. Assist with spending analysis and budget to actual reviews.
  • Assures compliance with monthly, quarterly, semi-annual, and annual grantor deadlines, filing requirements, and financial reporting guidelines.
  • Participates in annual audit engagement of agency and related entities and grant specific financial audits; assures audit schedules maintained throughout the fiscal year and at fiscal year-end where applicable.
  • Seeks ways to improve and promote quality, demonstrates accuracy and thoroughness, and adheres to safety, security, controls and confidentiality requirements.

  • Other tasks/projects assigned by the Accounting Manager.

Experience/Requirements:

  • Associates Degree in Accounting or similar field. Years of experience may be substituted for experience.
  • Non-Profit accounting and grant experience preferred. Experience with Intacct or Netsuite preferred.
  • Strong working knowledge of general ledger, accounts receivable and generally accepted accounting principles required.
  • Must have strong accounting software and spreadsheet skills, ability to communicate clearly and persuasively (verbally or in writing), ability to promote warm, respectful, positive work atmosphere and act as a role model for others.
  • Must have high ethical standards, and be flexible, highly motivated and able to work independently.
  • Position will allow partial remote work (hybrid) after successful completion of probation and training.
  • Ability to pass a criminal background check.
  • Ability to understand intimate partner violence and how it affects the client population.
  • Must be flexible, able to work with multiple competing priorities, able to identify and resolve problems, delegate work and maximize the work effort of others, and successfully manage competing priorities.
