SUMMARY

The primary focus of the Special Events Manager is to be the lead Event Manager for one or more of our signature events, such as The Magical Forest, HallOVeen, Camelot, The Las Vegas Great Santa Run, and the Spring Fashion Show, as well as, to provide team support with any of the other Opportunity Village events scheduled throughout the year. As needed, the Special Events Manager will also support and perform manager-on-duty (MOD) responsibilities for the Magical Forest and HallOVeen. This role assists with and manages assigned event budgets to ensure revenue and expense guidelines are met and collaborate with the Director of Event Services, the Event team, the Vice President of Philanthropy, and the Resource Development team with vision, strategy, and planning for our fundraising events. There are after-hours and weekend responsibilities for this position that may require extended hours inside or outside of the office.

ESSENTIAL DUTIES AND RESPONSIBILITIES

 

  • Assist the Director of Event Services and the Business Office in preparing event budgets to achieve annual revenue goals.
  • Thoughtful internal and external communication to ensure requirements are known and deadlines are met.
  • Be a participating member of the development of short and long-term department goals, collaborating along-side event leadership team peers and guided by the Director of Event Services.
  • Assist with sponsorship, live and silent auction support, and in-kind donating partner and vendor procurement as assigned.
  • Assist with event customer relationship management (CRM) systems, such as GiveSmart or other fundraising or event management software.
  • Assist Event Managers and the Events Administrative Assistant to ensure timely reconciliation of event expenditures to ensure adherence to pre-approved event budgets.
  • Coordinate with onsite vendors to ensure placement, timelines, guest interaction and financial agreements are fulfilled per their agreements or contracts.
  • Assist with the development of marketing plans for your assigned events, which could include design, printing and distribution of direct mail collateral, invitations, event program, menu and thank you letters.
  • Assist with the acquisition and reporting of any necessary licenses, permits and insurance documents required for each assigned event.
  • Collaborate with the Director of Event Services and the Community Engagement Director to ensure goals for volunteer quantities, qualifications, check-in, placement and check-out are met.
  • Attend OV fundraising events and provide on-site support, as needed.
  • Performs other duties as assigned.

 

SUPERVISORY RESPONSIBILITIES

  • Manage, train and supervise any full or part-time, on-call, seasonal and temporary agency employees, community partners, volunteers and outside vendors participating in the set-up, execution and strike of any Opportunity Village event you have been given leadership or MOD responsibilities.
 
Position Requirements

SKILLS REQUIRED

  • Possess excellent speaking and writings skills, time management and organization skills.
  • Strong interpersonal skill and the ability to work with all levels of management.
  • Proficient in all programs of Microsoft Office Suite.
  • Willingness to work evening and weekend hours.
  • Creative problem solver who is able to “think outside the box.”
  • Detail oriented with ability to set priorities and manage multiple tasks and deadlines.
  • Have a commitment for excellence in work.
  • Ability to define problems, collect data, establish facts and draw valid conclusions in a fast paced environment.
  • Must possess excellent customer service skills and social perceptiveness to respond in a calm, kind and professional manner to common inquiries, criticisms or complaints while working in a fast-paced and noisy environment.

 

EDUCATION AND EXPERIENCE

  • Required: Three to five years’ experience in hospitality, sales, catering, fundraising or applicable field or related field.
  • Required: Three to five years’ experience in leading people and managing operational processes.
  • Preferred: Prior experience working with individuals with intellectual disabilities.
