Job Description

Administrative Assistant

OVERVIEW: To provide administrative and secretarial support to the Health Services Director and Health Department Management Staff.

WORK LOCATION: Lower Elwha Family Health Department

SUPERVISED BY: Health Services Director

POSITION STATUS: Full time with benefits

SALARY LEVEL: $27.63 - $30.00, Salary

WORK SCHEDULE: Monday-Friday, 8:00am-5:00pm, work schedule may vary at times

ESSENTIAL FUNCTIONS OF JOB:

  • Complete projects requiring coordination with managers, supervisors, and staff to assist with new programs and initiatives, conducting research and special projects.
  • Type correspondence for the Health Director, and other management or supervisor to include word processing/typing of letter, memos, forms, policies and procedures (includes handling of confidential information).Maintain CONFIDENTIAL information for the Health Department.
  • Track and process contracts, agreements and amendments from all agencies according to our contract tracking procedures.
  • Monitors grants and contracts to maintain budgets and implementation are in compliance.
  • Maintain and manage all Management Team Meetings, which includes: scheduling plus distributing meeting minutes to all management staff.
  • Provide assistance to management/supervisors with LEKT Human Resources on boarding and off boarding procedures which may include: hiring process, PAF processing, Annual/90 day review processing, resignations, license/ education verification, provider credentialing and privileging, assigning and documenting required training for new staff.
  • Provides assistance with AAAHC accreditation requirements.
  • Maintain Accounts Payable
  • Maintains meeting minutes and provides backup for the Staff Meeting coordinator.
  • Review personnel records for completeness, accuracy, and compliance with regulation.
  • Process and prepare business and government forms.
  • Will work cooperatively with both internal and external customers.
  • Other duties as assigned.

DESIRED QUALIFICATIONS:

  • Must have at least five years' experience of clerical support, health related administration, accounting skills, grants management or secretarial level experience.
  • Must have at least 5 years supervisory experience that follows Human Resources Policy and Procedures.
  • Ability to interface well with all departments of the Tribe and to represent the Health Department in a highly professional manner.
  • Commitment to maintain the highest level of confidentiality.
  • Ability to Multi-task under pressure.
  • Must have customer oriented communication skills; both verbal and written including good spelling and grammar.
  • Must have above average computer skills. Knowledge of computer based programs used in office settings. E.g. PowerPoint, Excel, Microsoft word, and Electronic Health Records
  • Must have strength in editing and proofing skills.
  • Must be able to comply with the Lower Elwha Klallam Tribe Drug Free workplace policies; must pass UA testing prior to employment.
  • Must be able to pass a criminal background check according to LEKT policies and procedures.
  • Valid Washington State driver license and insurable driving record.
  • High School diploma or GED.

Knowledge, Skills, Abilities Required by Position:

  • Demonstrate experience in administrative support and leadership skills.
  • Working knowledge of local community needs and resources.
  • Working knowledge of federal and state regulatory environment.
  • Diplomacy and human relation skills required.

PHYSICAL REQUIREMENTS:

  • Often physically demanding, this includes sitting for long periods or moving constantly to complete the daily tasks.
  • A reasonable amount of driving is required. Occasional out of town/state travel lasting up to 5 days required.

OTHER CONSIDERATIONS:

  • Ability to apply principles of secretarial and administrative support in daily practice.
  • Ability to act quickly in emergency situations.
  • Balancing attention to detail with a 'bigger picture' perspective.
