About the Organization A pioneering not-for-profit affordable housing developer and community programs initiator in New York City, Settlement Housing Fund, Inc. has worked since 1969 to create more than 8,700 apartments through 64 affordable rental and homeownership development projects. New Settlement's success has been achieved through close collaboration with a wide range of educational institutions, housing and community development organizations, businesses, youth development and social service agencies - in the neighborhood, Bronx-wide, across New York and nationally. The programs at New Settlement are supported by local, state and federal government agencies, as well as foundations, corporations, organizations and individuals.  
Description

JOB SUMMARY: Under the direct supervision of the Administrative Coordinator and Administrative Director, the Member Services Supervisor will be responsible for providing skilled, efficient, and confidential administrative support to senior staff as necessary. The Member Services Supervisor will serve as lead to the Member Services Representatives and enforce policies, remain professional, and ensure that shift is running efficiently. The Member Services Supervisor will prepare correspondences, reports, maintain schedules, answers phone calls and maintain files. All Member Service Supervisors will support community events in addition to supervising staff and office work that benefits the organization.

Job Duties include but not limited to:

  • Supports and enhances a culture that respects and honors diversity, invests in professional development and encourages self-care
  • Serve as the Center administrative supervisor during assigned shift: oversee Member Services staff and interns, greet visitors, answer phone calls, receive messages for/from Center staff and business matters in a professional manner
  • Ensure center and staff policies are being upheld by all patrons and staff
  • Assist in outreach and marketing planning for the center to maximize recruitment and retention of center membership
  • Create and submit requested reports in a timely manner
  • Transcribe and translate documents as requested
  • Maintain and update all center documents
  • Handle and log all checks, cash and petty cash items/ensure all money is secured professionally
  • Monitor all office/ program supplies and prepare orders as needed
  • Maintain all administrative and correspondence files
  • Ensure that all office supplies and flyers are fully stocked.
  • Create a safe and inviting environment for all staff and center members
  • Develop a rapport with center members and staff; handle complaints and offer suggestions or recommendations as appropriate under the direction of the Division Director, Assistant Director and Admin Director
  • Evaluate the condition of all office equipment weekly and make note if items are damaged or worn out
  • Provide any additional assistance needed within the Center setting
  • Support Outreach Department with miscellaneous administrative responsibilities, such as proof-reading email blasts and media releases for upcoming events and registrations
  • Assist with event management as needed such as set ups/breakdowns
  • Occasionally attend outreach events to promote membership and classes to prospective patrons
  • Hold regular meetings with Admin Director and Admin Team to review upcoming activities
  • Keep sensitive information regarding patrons, employees or the facility confidential
  • Hold Daily Kick Off meetings with your shift
  • Perform other duties as reasonably requested

QUALIFICATIONS & EXPERIENCE:

  • Must be bilingual in English and Spanish
  • Must be able to work weekday evenings and weekends
  • At least 2 years of related work experience
  • Ability to communicate effectively with young people from diverse backgrounds, of various ages, as well as a range of other organizational personnel in a courteous and professional manner
  • Ability to deescalate situations and follow proper reporting procedures
  • Strong written and verbal communication skills are essential in addition to excellent follow-up skills
  • High level of technical proficiency in the use of Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint
  • Highly motivated and dedicated to the organizational mission
  • Extremely organized/detail oriented and able to handle multiple tasks in a fast-paced environment
  • High school diploma is mandatory; college experience is preferred
  • Cash Handling: 2 years
  • Administrative Assistant: 2 years

Employment is at will and employees will undergo 45- and 90-day check-ins during their 90-day probationary period.
