Position Summary:

The Senior Wedding & Event Manager at Edgewood Tahoe is responsible for all aspects and functions of the Wedding Department in accordance with Edgewood Tahoe standards. Reporting to the Director of Catering and Conference Services, the Sr Wedding Sales Manager will oversee the day-to-day operations within the wedding department office including administration duties, reporting and all related billing. In addition, the Sr Wedding Sales Manager is responsible for selling and contracting Luxury weddings in addition to other related wedding type events and coordination of all aspects of the event from beginning to end. Reimagine luxury hospitality with us. The Sr Wedding Sales Manager will also assist with the selling, contracting, and administration of social events as assigned.

 

Essential Functions:

  • Organize, manage, and develop the wedding and event team and evaluate performance.
  • Representative of the Company: as the representative of the Company and hotel, professionally approach and communicate with current and prospective customers. Knowledgeable on market, positioning of hotel, amenities, and brand. Understand booking patterns, trends, high demand times, and events in the market. Convey a strong belief in the hotel and confidently discuss hotel features, services, and advantages.
  • Sales Development: research and understand demand generators, new business sources, the internet as a prospecting tool, community involvement and networking. Research competing hotels and identify sales strategies for weddings and events. Understand and use industry reports like Delphi Reports, etc. Develop effective sales strategies to counter the competition. Develop valuable business relationships that result in additional sales and new customers. Research each customer’s business and hospitality needs, identify who to talk to and how to get sales closed. Assist with complicated negotiations, to provide bottom line revenue while maintaining the integrity of the close.
  • Monitor customer preferences to determine the focus of sales efforts. Research and identify new wedding and event opportunities for the hotel including reaching out to event planners and partners.
  • Represent the Company at wedding association meetings to promote sales and network.
  • Proactive and Creative Sales: Develop the wedding and event team to exercise creativity, discretion, and independent judgment in determining how to assemble an event to suit each customer's taste. Give full attention to what customers are saying, take time to understand the points being made and ask questions as appropriate. Conduct site visits and prepare original, creative proposals tailored to address the needs of and to impress the customer. Develop solutions to any cost concerns and resolve any challenges or problems.
  • The Wedding and Event Manager will be responsible for managing, coordinating, and executing group assignments turned over by the Sales Department.
  • This position will contribute to the organization as representative of the catering team that is responsible for supporting the company’s goals, objectives, vision, mission, and values.
  • This position will maintain strong client relations and ensure that wedding and event specifications are communicated and executed for success and experience for the planner and attendees.
  • Act as a mentor and trainer in the development of the wedding and event team.
  • Conduct daily touchpoints for catering wedding and event to ensure programs are being contacted, detailed, and billed in a timely manner.
  • Propose ideas and processes to improve provided services and event quality.
  • Ensure compliance with insurance, legal, health and safety obligations.
  • Proactively handle any arising issues and troubleshoot any emerging problems on the event day.
  • Conduct pre- and post – event evaluations and report on outcomes to DOCC.
  • Use your knowledge of the hotel’s offerings and the competitive landscape to secure catering business that meets or exceeds sales and revenue goals.
  • Develop wedding and event team in the outline details of catering events in the form of BEO’s and other reports and provide timely information to hotel departments regarding set-up, purchasing, and scheduling needs.
  • Ensure that the wedding and event team is capturing the client’s vision and effectively convey the specifications to appropriate departments, rapidly responding to inquiries, concerns, and issues, ensuring an exceptional client experience, and seeding future bookings.
  • Develop client menus, write contracts and letters, as well as organize all other arrangements as they relate to weddings and events.
  • Keep management informed of activities through regular reporting.
  • Provide outstanding customer service to clients while they are in the hotel to ensure total guest satisfaction.
  • Maintain accuracy of catering events information in Delphi FDC
  • Assist in building strong relations with other hotel departments, employees, and outside agencies and vendors.
  • Ensuring excellent guest service that exceeds expectations with a respect for quality and careful attention to service and details.
  • Prior to and throughout the event inspect set-ups for cleanliness, organization, and agreement with client and company standards; rectify any deficiencies.
  • Meet and greet clients, conduct property tours, and promote facilities and services. Answers client inquiries.
  • Develop and conduct persuasive verbal sales presentations to prospective clients.
  • Supervise and attend the overall set up and implementation of events and meetings.
  • Communicate with relevant departments to ensure proper servicing of accounts.
  • Prepare and present weekly and monthly Catering/Sales reports.
 
Position Requirements

Experience and Qualifications (Required):

  • Minimum five years of experience as an events planner, coordinator or organizer
  • Impressive portfolio of previously managed events (weddings, meetings, parties, corporate events)
  • BS Degree in Event Management or Hospitality or Food and Beverage Management or related discipline desired
  • Worked in a four or five diamond/star resort or hotel. Must have strong working knowledge of hotel operations and various departments; experience in the luxury hotel setting strongly preferred
  • Extensive knowledge of Food and Beverage etiquette, guest relations and service standards
  • Knowledgeable in Word, Excel, PPT, Outlook, Delphi FDC, CVent, SocialTables
  • Strong interpersonal skills to assess client needs, negotiate pricing and provide overall guest satisfaction
  • Effectively deal with internal and external guests, some of whom will require high levels of patience, tact and diplomacy
  • Sales skills and ability to build productive business relationships
  • Excellent communication skills
  • Ability to manage multiple projects independently
  • Must always present a professional appearance and manner
  • Must be able to walk/stand for extended periods of time; must be able to lift up to 40 lbs occasionally
  • Available to work varied shifts when needed, including weekends, holidays, and nights
