Office Support Specialist (10-Month Contract)

Note:  This position is a 10-Month Work Contract, working August – May of the school year.

Provide administrative and business support to internal and external customers of Tulsa Tech.

Essential Functions

1. Provide customer service communications which may include such duties as: processing enrollments, telephone answering, responding to inquiries and information requests from both internal and external customers, taking accurate and delivering timely messages, providing follow-up for information requests and greeting visitors.

2. Perform administrative tasks, which could include: researching; setting up and maintaining spreadsheets and databases; completing forms; logging or posting information; data entry; maintaining and monitoring budget information; handling of money or vouchers.

3. Produce correspondence, compiling and producing reports, presentations and other documents (both paper and electronic) including drafting of content when appropriate, assuring proofreading for accurate punctuation, grammar and spelling and use of word processing software for producing a professional appearance.

4. Perform duties such as: distributing mail; preparing documents for mailing; maintaining on-line calendars, scheduling and assisting with preparations of meetings, events and/or orientations, maintaining, filing and retrieving records; copying, assembling and distributing materials.

5. Coordinate with administration regarding campus/department expenditures, budget variances, purchasing, payroll and bookstore.

6. Provide back up support in the absence of other support staff or in an overload situation. Participate in cross training efforts as required.

7. Perform tasks and duties relevant to any of various roles or responsibilities assigned by supervision and determined by management to be appropriate for this position. Comply with all policy, procedure, regulation and other communicated requirements as may be in effect for the workgroup or worksite.

 
Position Requirements
  • This position requires a minimum of three years of experience with an emphasis in administrative tasks and projects within a service organization.
  • Demonstrated proficiency, through third-party assessment, in Microsoft Outlook, Word and Excel required.
  • Bilingual is a plus.

Hiring Range $26,233 to $28,956 annually dependent upon experience, plus $7,200 additional compensation yearly for salary-in-lieu of paid dependent benefit coverage
