We are looking for a steady, multi-tasker to join us in our mission to enhance the lives of aging adults and their families. This role is at the center of the business and has the critically important responsibility of connecting our caregiving workforce with the needs of our senior clients in order to ensure that the highest quality care is provided. Scheduling is coordinated based on budget and census. This position is also responsible for directing and evaluating the work of our Caregivers.

The Staff Scheduling Coordinator must thrive in a fast-paced environment, be able to motivate and inspire a team and effectively respond to the changing needs of the seniors we serve.

Job Responsibilities:

  • Assists with attendance tracking, including maintaining tardy and absence calendars.
  • Reports to Director of Nursing all employees with excess tardiness or absenteeism in accordance with policy.
  • Works with Human Resources and Director of Nursing when scheduling modified work duty employees in accordance with work restrictions and policy.
  • Assists employees in accurate completion of forms (i.e. leave and day off requests, time cards, etc) pertinent to scheduling and staffing.
  • Completes monthly nursing schedule coordinating requests to ensure appropriate coverage of units. Completes and posts work sheets/time schedules.
  • Performs miscellaneous duties pertaining to staffing and assist nursing supervisory personnel as necessary.
  • Works cooperatively with residents, residents' representatives, facility staff, physicians, consultants and ancillary service providers.
  • Answers employee calls regarding staffing/scheduling functions. Prepares written correspondence as necessary, including staff grievances pertaining to scheduling.
  • Ensures newly hired nursing staff has schedules on day of orientation.
  • Consults with nursing department staff and supervisors concerning the staffing/scheduling needs: to assist in elimination/correction of problem areas, and/or improvement of services.
  • Makes recommendations to Director of Nursing concerning staffing and scheduling issues.
  • Develops and maintains a good working rapport with interdepartmental personnel, as well as other departments within the facility.
  • Ensures administrative functions are carried out promptly for an efficient operation. Assists in standardizing the methods in which work will be accomplished.
  • Observes Residents' Rights and safety policies at all times.
  • Attends in-service training programs as needed.
  • Comes to work as scheduled and consistently demonstrate dependability and punctuality.
  • Other duties as assigned, performed in an effective, timely and professional manner.

Position Requirements

Qualifications:

  • Must be a licensed CNA, CMT, LPN or RN in the state of Kentucky.
  • Experience using electronic scheduling software is a must. Specific experience using SmartLinx preferred.
