Description

Summary:

Maintains and updates physician schedules for Bend Memorial Clinic physicians by scheduling, rescheduling and canceling appointments on a daily basis. To prospectively review provider schedules to maximize access. This includes satellites and ancillary schedules.

Essential Functions (greater than or equal to 10% of time):

60% - Schedule, cancel and reschedule appointments including entering appointment data into computerized scheduler. Reviewing provider schedules daily to identify availability and maximize access.

10% - Online verification of benefits including but not limited to answering patient inquires regarding Medicare and OHP/OMAP acceptance.

10% - Assist PFS in collection procedures by acting as a liaison between Med3000 and the patient. Includes online verification of all collection accounts with PCS and relaying that information to the patient.

10% - Scrub future appointments to eliminate user errors and ensure accuracy in the billing process.

Secondary Functions (less than 10% of time):

5% - Answers telephone and directs caller to appropriate personnel, or initiates a triage slip for response by medical personnel.

5% - Call patients daily to confirm upcoming appointments

 
Position Requirements

Education and/or Experience:

High school diploma or equivalent. 3+ years of customer service experience.

Necessary Knowledge, Skills and Abilities:

Working knowledge of Microsoft Office programs, medical terminology, practice management scheduler, documentation standards, and Mysis system a plus. Basic computer and typing skills. Excellent verbal communication with an emphasis in phone conversation. Excellent customer service skills.

Certificates, Licenses, Registrations:

None required.

Lead Duties – (if assigned):

Training of new employees; Coordinate and perform in-department training, as needed; Assisting with day-to-day department needs (supplies, equipment, etc.) to ensure department stays within budget; Coordinate PTO for staff members and arrange float coverage as appropriate; Monitor provider schedules, insure that schedules are filled, utilize provider wait list as required; Continuous improvement to department processes; Works with teammates to ensure the daily work flow is efficient and patients are roomed timely and report problems and solutions within a timely manner; Responsible for adjusting staff schedules to flex up/down on busy/slow days; Participating in interview process with hiring manager, as needed; Attend meetings outside of normal business hours.

Physical Demands:

While performing the duties of this job, the employee is regularly required to use hands to finger, handle, or feel and talk or hear. The employee is frequently required to sit at a computer for long period of times. The employee is occasionally required to walk up and down stairs. The employee is frequently required to stand; walk; sit; use hands to finger, handle, or feel and reach with hands and arms. The employee is occasionally required to stoop, kneel, crouch, or crawl. The employee must frequently lift and/or move up to 25 pounds.

Work Environment:

General office environment in a clinical setting. Exposure to moderate levels of noise in a moderately paced environment. Some weekend and evening hours may be required during peak times. Minimal face to face contact with patients. Works with other Bend Memorial Clinic departments to deliver optimal service and meet clinic goals.
