General Purpose:

Perform a variety of routine and complex clerical, administrative and legal secretarial work in support of the County Attorney’s office. Legal Assistant III will act as Team Lead.

Essential Functions:

(These duties are a representative sample; position assignments and detailed work instructions may vary.)

Legal Assistant I

  1. Under close supervision, uses computer and software applications to accurately type and edit basic correspondence; enter data; retrieve data; search databases; create documents; and send emails.
  2. Prepares and files with the court legal pleadings, such as complaints, motions, notices, subpoenas, leases, deeds, agreements, resolutions and correspondence.
  3. Processes various documents, ensuring that all necessary forms are complete and accurate.
  4. Answers and routes telephone calls: appropriately greets caller, assesses situation. Takes accurate messages and completes transaction.
  5. Assists the public and/or employees at front counter: appropriately greets visitors; answers routine questions; locates documents; fills out forms; makes copies. Displays a clear attitude of customer service.
  6. Processes incoming and outgoing mail.
  7. Prints, copies, assembles, distributes and files documents and maintains files.
  8. Interacts with other Offices and Departments and outside organizations to obtain and provide information.
  9. May prepare and arrange for publication of agendas and legal notices.
  10. May perform hand deliveries.
  11. May coordinate service of court documents.
  12. Drives vehicle to perform one or more essential functions.
  13. Reviews all work products to ensure highest level of quality.
  14. Performs other duties of a similar or related level as necessary or assigned.

Legal Assistant II:

  1. Under minimal supervision, performs all essential functions of the Legal Assistant I.
  2. Prepares complex contracts and legal pleadings such as briefs with multiple case law references and/or numerous legal citations.
  3. Prepares summonses, notices of hearing and notices of a change of setting.
  4. Arranges and follows up on service of process and publication of legal notices.
  5. Creates spreadsheets.
  6. Makes suggestions for improving and updating filing system.
  7. Assists in preparation of exhibit and attorney trial notebooks.
  8. Assists in preparing materials for BOCC meetings.
  9. Assists in preparing monthly invoicing for the Department of Human Services.
  10. Files pleadings electronically with the courts.
  11. Assists in scheduling of depositions.
  12. May assist in ordering office supplies and maintaining office equipment.
  13. May assist in analyzing current documents for scanning and/or document retention.
  14. May assist in registering employees for trainings and arranging travel arrangements.
  15. May assist in the development of legal forms.
  16. May assist in creating PowerPoint and other formal presentations.
  17. Performs other duties of a similar or related level as necessary or assigned.
 
Position Requirements

Minimum Education: High school diploma or equivalent with further specialized education or training in legal secretarial practices and procedures and office practices and procedures.

Minimum Experience: 2 years experience in legal environment; or an equivalent combination of government, legal and secretarial experience and/or some paralegal duties. Highly proficient in relevant computer software applications.

Licenses/Certifications: Valid Driver’s License.

 

Job Qualifications:

Knowledge of:

  1. Relevant Federal, state and local laws, rules, regulations, codes and/or statutes.
  2. Practices and procedures specific to a legal office.
  3. Modern legal office processes and procedures.
  4. Keyboarding, data entry and word processing skills.
  5. Grammar, spelling and punctuation.
  6. Relevant computer hardware and software applications.
  7. Basic math skills.

Ability to:

  1. Speak, read and write the English language.
  2. Communicate effectively verbally and in writing.
  3. Understand and follow written and verbal directions.
  4. Type a minimum of 65 WPM.
  5. Use pre-defined macros in creating documents.
  6. Exercise office organizational skills such as paper and electronic filing and managing multiple priorities.
  7. Establish and maintain effective working relationships with coworkers and supervisors, other Departments/Offices, and other agencies.
  8. Use resources to solve problems.
  9. Understand and practice safety procedures and precautions.
  10. Work independently.
  11. Maintain a high level of professionalism and confidentiality.
  12. Properly cite legal authority.
  13. Carry out projects to their completion with minimal supervision.
  14. Effectively proofread for accurate grammar, punctuation, and spelling.
  15. E-file legal pleadings to State and Federal Court.

Often interacts with the general public, government organizations and the Courts.

Required Physical Activities:

While performing the essential functions of this job the employee is frequently required to reach, grasp, finger, stand and/or sit for long periods of time, walk, talk and hear; occasionally required to lift and/or move up to 20 pounds. Specific vision abilities required by this job include close vision, color vision, depth perception, peripheral vision, and ability to adjust focus. The employee is required to read and work at a computer for extended periods of time.

Work Environment:

May be required to work extended hours at discretion of Supervisor.

The noise level in the work environment is usually moderately quiet, with frequent interruptions and multiple demands.

Required Travel:

The employee is frequently required to travel within the County.

Computers and Other Equipment:

Computer and relevant software applications; 10-key calculator; telephone system; postage machine; facsimile; copier; scanner; shredder; dictation equipment; audio recording devices; TV/VCR/DVD.
