Position Summary: The IT Administrator assists with maintenance and management of the House of Ruth Maryland network and infrastructure, VPN, users, phone system, security systems and cameras, printers, computers, and audio and visual equipment while also providing hands-on support for end-users to assure maximum systems performance in support of agency mission. The IT Administrator works in accordance with policies and procedures developed by the Associate Director of IT, and works together with the House of Ruth Maryland managed IT services provider.

 

Primary Responsibilities:

 

  • Assures proper functioning of all HRM data servers, networks, telephone systems, security systems, computers, audio and visual equipment, and copiers/printers in support of agency mission through direct action. This includes all Agency approved sites.
  • Provides assistance to employees related to the items listed above, in connection with our policies and together with our managed IT services provider.
  • Monitors system and network performance, trouble shoots connectivity issues at sites.
  • Manages, distributes, collects, and inventories Agency IT equipment, most notably laptops, desktops, monitors, printers, and other items provided to employees.
  • Assists with Agency onboarding process to setup users and to establish proper access, licenses, and security, ensure equipment and accounts are available pre-hire, and provide initial training. Manages initial assignment of usernames and passwords for all staff and keeps them confidential to ensure a high level of security for all client and business related information.
  • Under the direction of the Associate Director of IT, create and place orders for equipment/devices and IT supplies. Maintain and submit all proper documentation and support for expenditures.
  • Employs proper techniques for maintaining a safe and secure network system including firewalls, virus software, and spam filters when necessary. Under supervision from the Associate Director of IT, assures daily maintenance of the network including backups of all data systems. Assist employees with education on proper use of equipment and techniques to avoid phishing and other cyber scams. Collaborates with training team to provide training to (new) staff in basic computer skills, applications use, equipment use and security issues awareness.
  • Receive and review monitoring and system and hardware/software reports received from the agency managed IT services provider, and make recommendations based on data within.
  • Learns and becomes proficient with the Agency phone system (currently, Intermedia as of April 2023). Maintains the phone and voicemail systems including reassigning extensions and desktop phone troubleshooting. Assures 24/7 hotline (critical system) has maximum functionality at all times.
  • Stays current with technology trends as they relate to the agency and its applications and utilizes in-depth technical knowledge to makes recommendations for the best possible network layout, applications usage and technology integration for locations.

Works closely with the Associate Director of IT to understand growth needs and impact on network and other systems. Supports the Associate Director of IT in developing/evaluating technical requirements, budgets, timelines/schedules, project tracking and status reports for information
