Summary of Position

This position is responsible for assisting the Human Resources Department and Operations with processing of applicant and employee-related information and associated paperwork. Primarily related to employee benefits, leave of absences, and change of statuses.

 

HUMAN RESOURCE SPECIFIC RESPONSIBILITIES

  • Enter, track and file applicant and employee records as duties are assigned.
  • Communicate missing items to supervisors and applicable staff.
  • Assist with special projects and other duties as assigned.
  • Travel to various Dean Operation Sites throughout Michigan may be occasionally required (company vehicle will be provided).

 

BENEFITS SPECIFIC

  • Respond to employee related questions about benefit plans offered.
  • Contact venders to resolve employee issues. (e.g., PlanSource, Physicians Health Plan, Priority Health, Guardian, etc.)
  • Coordinate Benefits Open Enrollment, annually during the summer. Generally mid to late August.
  • Enrollment notices to Payroll via the SB Notice and setup benefit accounts within GPA.
  • Review and coordinate benefit changes on the Payroll Change Report weekly.
  • Conduct weekly benefit premium report to ensure employee premiums are on track to be paid off within that designated plan year. Notify Payroll if adjustments are to be made. Send benefit balance letters, if applicable.
  • Monitor ACA measurements periods and generate offers of coverage.
  • Track benefit offers for new hires and promotions.

 

LEAVE OF ABSENCE OR CHANGE OF STATUS SPECIFIC

  • Review and Enter Change of Status Forms into GP.
  • Send Family Medical Leave Act (FMLA) letters, initial and follow-up.
  • Communicate with supervisors if leave of absence has expired.
  • Review medical releases for return to work and advise if additional testing is required per the Medical Services Request guidelines.
  • Send benefit premium payment letters for employees on leave, if applicable.
  • Monitor and modify bid seniority, if applicable due to position change.
  • Monitor qualifications for benefits, if applicable due to position change.
 
Position Requirements

DEAN SPECIFIC REQUIREMENTS

  1. Must pass criminal background check and have favorable reference checks.
  2. Must possess a valid Michigan Driver’s License and have an acceptable driving record.

 

KNOWLEDGE, SKILLS, AND ABILITIES

  • Prior administrative experience required; prior Human Resources experience preferred.
  • High School Diploma required, Associates Degree with emphasis in Human Resources, Business Administration, or related field.
  • Proficiency with computers, multi-line phone systems and office equipment.
  • Demonstrate an excellent attendance record.
  • Demonstrate the ability to work effectively in a team setting.
  • Demonstrate effective verbal and written communication skills.
  • Demonstrate effective organizational skills.
  • High level of interpersonal skills to handle sensitive and confidential situations.
  • Ability to process and evaluate confidential information and materials.
  • Demonstrate the ability to work in a fast-paced environment.
  • Demonstrate effective and efficient problem solving.
  • Work independently and efficiently.
  • Attention to detail in composing, typing and proofreading materials, establishing priorities and meeting deadlines.
  • Ability to productively interact with internal and external customers.
  • Ability to create organized processes and methods.
  • Thorough knowledge of benefits and FMLA laws and regulations is required.
