Administrative Assistant – Operations

Under the direction of the Director of Operations, the Administrative Assistant will perform the day-to-day administrative functions for the office of the Operations Department. The incumbent will possess a thoroughly demonstrated knowledge of principles and practices of office management, will exercise considerable latitude and discretion when carrying out assignments and handling material which may be sensitive and confidential in nature. This position entails using independent judgment when financial commitments are made on behalf of the organization.

1. Process purchase orders, check requests and expense reports.
2. Manage departmental correspondence flow in a timely and accurate manner
3. Compile information and write monthly overview and board reports.
4. Support budget process.
5. Provide administrative support services and office management for the office of the Director of Operations.
6. Prepare and process Action Forms, Performance Coaching Tools (PCT’s), and Job descriptions for employee hiring.
7. Maintain Directors calendar by scheduling, coordinating, preparing and setting up all meetings and confirming all appointments, conference dates agendas and location set-up.
8. Formulate, proofread and distribute all letters, reports and correspondence.
9. Oversee the completion and distribution of meeting minutes, reports, letters and memos.
10. Review and update employee timecards.
11. Facilitate employee record keeping.
12. Resolve matters not requiring the personal attention of the Director of Operations, using a thorough knowledge of office terminology, procedures and equipment in aiding others with their administrative needs.
13. Schedule and process orders (pick tickets) for production and billing.
14. Coordinate transportation or repairs as needed through FMX software.
15. Assist with recording and reporting production and key performance indicators (KPI’s).
16. Prepare weekly/monthly reports, spreadsheets, for financial, and production tracking.
17. Assist in quality control procedures.
18. Perform special projects and other duties as assigned.


This position has no staff supervisory responsibilities.

Position Requirements


• Computer literate.
• Must possess basic math skills
• Ability to read, analyze and interpret written information.
• Ability to interpret instructions, gain knowledge and have initiative.
• Ability to communicate effectively with individuals, co-workers and supervisors (verbal and written).
• Must possess social discernment to assess and understand other’s reactions and behaviors.
• Ability to define problems and draw valid conclusions.
• High energy, positive and enthusiastic outlook.
• Self-directed, with strong ability to work independently, and to set and adhere to deadlines.
• Ability to set priorities, follow through to completion of tasks, work well under pressure, and maintain a high level of confidentiality.
• Must encompass professional demeanor.


• High School Diploma or equivalent along with two (2) years of verifiable administrative work experience.
• Required: Computer literate and must be proficient in Microsoft Office products (i.e. Word, Excel, Outlook and PowerPoint).
• Preferred: Experience working with individuals with disabilities.
