General Summary

The Office Manager provides coverage for the Skip-a-Long Child Development Center main office reception area and performs duties related to customer service, processing mail, and directing calls. This position provides administrative support to the Center Director and Family Service Provider. Support advanced clerical tasks, document production and creation, answering phones, etc.

Essential Functions

Administrative and Office Functions:

  • Open center each morning and conduct opening routine responsibilities
  • Monitor copy machine usage, copying, faxing, scanning and maintenance
  • Prepare, copy, maintain child enrollment packets
  • Maintain/order office supplies, uniforms, and other various items to ensure the center is functioning at optimal level
  • Facilitate communication between the Site Director, families, and staff through sources such as emails, phone, and signage
  • Log, file and distribute paperwork and mail
  • Ensure all payment processes are complete and accurate
  • Prepare deposits
  • Maintain office board regarding absences and late arrivals of staff and children.
  • Operate various office equipment; be a resource to other staff; serve as center's IT point person.

Classroom support:

  • Sub in the classroom
  • Maintain medication lock box in office and audit medication forms on a monthly basis
  • Assist with clerical tasks and deliver necessary items

Data Entry

  • Prepare and report CCFP meal counts on a weekly and monthly basis
  • Support center to achieve quality standards, meet state regulations, and/or obtain agency wide goals
  • Facilitate parent and child communication as it is related to enrollment and eligibility
  • Review and advise supervisor on daily classroom ratios
  • Update and maintains personnel information
  • Update and maintain data management site called ProCare.
