Description

Position Objective: Supports the mission of the Museum by ensuring that visitors renting Museum space have a quality experience from initial contact through the planning and execution of their event by leading the Rentals department team of assistant managers and part-time staff.

Responsibilities
• Promote, secure, and oversee facilities rentals to groups and individuals ensuring quality customer service.
• Manage and develop Rentals Department budget with revenues of more than $500K to ensure efficiency, accuracy and profitability.
• Collaborate with Marketing Team to promote facility rentals at the Museum by initiating contacts with target groups and tracking results of outreach approaches.
• Hire, manage and develop team of Assistant Managers to ensure seamless coordination of all events and delivery of exemplary customer service.
• Hire, train, develop and manage a team of rentals associates.
• Secondary oversight of hiring, training, and management of part-time birthday party educators.
• Provide operational oversight of all aspects of the Museum's Rental department including but not limited to overseeing each rental contract and birthday party booking including managing timely responses to incoming requests, pricing, reservation, invoicing, and collection.
• Develop, implement, and manage rentals department strategy to strengthen and grow new and existing revenue streams.
• Coordinate with Museum Staff (Facilities, Exhibits, Guest Relations, Accounting, Butterfly House, Animal Department, etc.) to implement the details of rentals including delivery of timely setup requests, and effective room reservation and resources management.
• Maintain a warm, friendly, safe Museum environment, monitoring Museum exhibits and spaces, ensuring that NC ABC Laws, Durham County smoking ordinance, and applicable Museum policies are maintained and enforced on the day of events as needed.
• Manage vendor relationships including managing customer service issues, record-keeping, accounting, coordination and compliance.
• Secure and coordinate staffing for all rental functions including acting as on-site primary venue coordinator, as needed for rental events.
• Maintain the safety, security and cleanliness of Museum facilities and exhibits by overseeing event set-up, enforcing Museum policies throughout event, ensuring adequate clean-up by clients and vendors, returning the Museum to its original state for regular operation, and properly securing campus on the day of events as needed.
• Create, develop, and maintain relationships with repeat clients and Museum Business Members.
• Promote the Museum to local organizations at networking events and at off-site trade shows.
• Attend and participate in Emergency Coordinator training as well as act as Emergency Coordinator after hours and as needed during daytime operations.
• Serve as departmental representative on operations team and events committee.
• Act as primary leader for Event Operations Team and as the primary set-up liaison for internal events to ensure seamless event operations for the organization.
• Complete training to execute add-on services as needed for programming and serve as the primary liquid nitrogen trainer and primary golf cart trainer and manager for the department.
• Recommend and lead collaborations across the organization to support the achievement of annual team operating goals.
• Manage the Rentals team members to support their achievement of individual and departmental goals with a focus on Museum values.
• Communicate directly with team members using strong written and verbal skills.
• Identify and evaluate issues that arise and use critical thinking to troubleshoot.
• Using the Museum's values as a guide, foster a positive staff culture and work environment, motivating the team through positive reinforcement.
• Prioritize and handle multiple tasks, delegating when appropriate.
• Effectively communicate operational successes, opportunities, and concerns to management.
• Know and model adherence to Museum policies and procedures.
• Work independently with limited coaching and oversight.
• Always demonstrate adherence to Museum safety procedures.
• Engage with Museum visitors in a positive and helpful way to support an enjoyable and safe guest experience.
• Prioritize the Museum's values of inclusion and kindness in all interactions with staff, volunteers, and guests.
• Perform other job-related duties as assigned.

Actual Pay Rate: $50,000-$58,000/annually

 
Position Requirements

• College degree or 3+ years' experience in relevant field
• Private Event Planning and Execution
• Staff Management or 2+ years supervising staff
• Excellent customer service skills
• Excellent oral and written communication skills
• Strong interpersonal skills including the ability to work collaboratively and with diverse populations
• Experience developing, tracking and analyzing sales objectives and performance
• Creative problem-solving skills and attention to detail
• Excellent computer skills
• Experience in budget management and development
• Ability to work flexible schedule including evenings and weekends as needed

Desired
• Able and willing to embrace Museum mission of science as a way of knowing
• Marketing/sales experience
• Museum and/or tourism experience or work in a similar field
• Experience in emergency management
• Bi-Lingual in English-Spanish

Pay Range $50,000- $58,000
