Job Summary:

The Associate Director, Member Relations and Global Outreach supports the mission of the Academy by engaging Membership through events, screenings, and programs that elevate the Academy’s profile focusing on the New York and Tri-State region, under the direction and guidance of the SVP of Member Relations, Global Outreach and Awards Administration. The Associate Director excels at ethics, diplomacy, equity, confidentiality, and parity, establishing and developing relationships, leadership, and maintaining composure in a fast-paced environment. The Associate Director serves as a unifier and a bridge between the members in the Tri-State region and the Global Academy membership and staff. The Associate Director upholds the Governance guidelines put in place by the Academy Board of Governors to align the Tri-State region with the actions and goals of the Academy.

Duties and Responsibilities:

  • Work closely with the Member Relations, Global Outreach and Awards Administration leadership to develop and execute the Academy’s Tri-State strategic plan in alignment with the Academy’s Global Strategy in areas of member relations engagement and outreach.
  • Collaborate with Academy leadership on a year-round film screening strategy that will be inclusive of Los Angeles, New York, and London.
  • On the ground planning and execution of weekly member screenings including sneak previews in collaboration with Academy leadership, shortlisted screenings in collaboration with the Awards Leads, and archival screenings in collaboration with the Academy Museum.
  • Oversee all event logistics including booking of theaters and venues as well as the set up and tear down of all NY programs and events.
  • Oversee management of event staffing and scheduling for both venue and event staff.
  • Maintain and organize consistent screening reports including attendance numbers and talent guest records.
  • Create and manage an updated document that includes all Tri-state activities, bookings, and confirmations.
  • Foster and maintain a positive and productive relationship with host theater partners in New York.
  • Oversee the planning and implementation of on the ground production of the annual New York New Member Reception and Oscar Night events.
  • Administration of the New York committee, and upholding Board of Governor guidelines including terms limits.
  • Identify and develop future leaders across all membership branches for committee and Board service.
  • Update and maintain the internal database with up-to-date information related to committees, events, communications and member records.
  • Collaborate with the public relations agency and other external stakeholders to strategically align marketing and communications goals.
  • Explore strategic partnerships in the Tri-State region aligning with Academy goals and objectives while consistently collaborating and consulting with the Academy’s Office of Revenue.
  • Negotiate contracts with vendors and stakeholders on behalf of the Academy for event spaces, office spaces, and other programs and events in consultation with the SVP and EVP of the department.
  • Coordinate with the Academy Communications, Marketing, and IT teams on writing all member communications, event planning, invitations, and press inquiries related to the Tri-State strategic vision
  • Research strategic partnerships in the Tri-State region aligning with Academy goals and objectives in partnership and in consultation with the Academy’s Office of Revenue.
  • Build, deliver and maintain oversight of the two budgets (the Academy and the Academy Foundation).
  • Manage and supervise the Tri-State team including a senior coordinator and interns.
  • Oversee the coordination of travel and accommodations for all NY program guests when necessary
  • Collaborate with the EVP of Impact and Inclusion to strategize and execute building regional educational programs that connect members to local communities.
  • Collaborate with the Impact and Inclusion office on the Academy’s commitment to promote diversity and inclusion across Academy membership, committees, board of governors, and staff.
  • Oversee logistics related to all Academy CEO, President, and board visits to the region
  • Maintain detailed inventory of all Academy property and its location in the Tri-State region
  • Other departmental support duties as needed
 
Position Requirements

Qualifications and Requirements:

  • 5+ years prior film industry experience preferred.
  • College courses in Film and Media studies preferred.
  • The ideal candidate will possess strong organizational skills and manage multiple tasks while maintaining attention to detail.
  • The candidate will also have an interest in the art of cinema, awards programs, marketing and publicity and outreach.
  • Excellent verbal and written communication skills.
  • Ability to work in a fast paced ever evolving environment and have the ability to pivot when necessary.
  • Self starter and comfortable managing multiple tasks.
  • Previous experience working with film organizations.
  • Proficiency in Outlook, Microsoft Office Suite, PowerPoint, AirTable, CRM.
  • Availability to work evenings, weekends, overtime, and late hours.
  • Demonstrates emotional maturity and discretion when handling sensitive information.
  • Establish and maintain a professional and genial tone with Academy members, talent, guests, clients, and peers.
  • Work quickly and efficiently under high-pressure situations.
  • Possess strong research skills.
  • Stays up to date on latest film, industry, and social media trends.

The expected starting salary range for this role is $90,000. The actual base pay offered will be determined on factors such as experience, skills, training, location, certifications, education, and other factors permitted by law. Decisions will be made on a case-by-case basis.
