The Communications and Volunteer Coordinator is responsible for the overall effectiveness of communications and volunteer initiatives.

The Communications and Volunteer Coordinator plays a key role in the planning, development, implementation and evaluation of all communications and volunteer coordination activities through identification of internal and external stakeholder’s needs, while working in the framework of community engagement.

The incumbent will support the Senior Leadership Team's development and maintenance of a Communications strategy and leads implementation of the plan. They will promote community awareness and the visibility of the Centre, including its programs and services, and its areas of advocacy.

Communications and Written Activities:

  • Assists the Executive Director and the Senior Leadership Team in public relations matters and inquires, such as arranging interviews, providing support with key messages.
  • Participates in the development of the communications plan to improve the centre’s visibility in the community.
  • Maintains the Carlington web site and social media platforms with relevant information and its programs and services (in English and French).
  • Provides written support such as writing, proofreading and editing for a variety of media content, including the annual report, newsletters, direct mail campaigns, funding proposals, news releases and other writing projects as required.
  • Creates and implements documents including program guides, templates for posters and presentations for distribution.

Volunteer Coordination Activities:

  • Works closely with teams to establish and maintain volunteer services as appropriate.
  • Supports the development, implementation and maintenance of Volunteer services, systems and policies.
  • Supports and completes the full cycle recruitment process. Works closely with teams to find appropriate volunteers for specific program needs.

Resource Development (once per year):

  • Build and maintain relationships with community associations in the catchment area to advance goals of the organization.
  • Distributes and administers standardized letters to donors, using the donor mailing list, maintaining the privacy and confidentiality of donor information.

As a condition of employment, the successful candidate is required to provide proof of full vaccination against COVID-19.

 
Position Requirements

Education

  • Bachelor’s degree from a recognized university in a relevant discipline or equivalent combination of some post-secondary education and relevant work experience. Key areas include volunteer management, communications, public relations or other relevant discipline.
  • Additional training in computer software applications relevant to corporate communications (e.g., web site maintenance, presentation software, etc.).

Professional Experience

  • Two to four years’ of experience with organizational communications.
  • Two to four years’ of experience in all aspects of coordination of volunteers, group leadership, and working with volunteers.
  • Two to four years of experience and professional focus with writing, communications, public relations or other equivalent experience.
  • Experience liaising with community groups and associations; specific knowledge of the Carlington service area an asset.
  • Experience developing online and print newsletters, print ads, and other forms of online and print corporate communications.
  • Experience and interest in working with marginalized and diverse clientele, such as low-income, high-needs, newcomer, and a variety of multicultural communities.

Key Competencies

  • Strong knowledge with research and writing abilities in both official languages along with ability to support the development of such products as the community newsletter, feature stories, annual reports, briefing notes, presentation decks and content appropriate for electronic environments.
  • Thorough knowledge in volunteer management areas such as recruitment, selection, training and development.
  • Knowledge of graphic design fundamentals and creating communications products suitable for both print and electronic environments for diverse audiences.
  • Excellent interpersonal and communication skills, oral and written.
  • High level of organizational and time management skills in a fast-paced environment.
  • Demonstrated proficiency in the use of computers and various software applications, including Microsoft Office programs, fundraising software, Social Media platforms, Photoshop, Canva, client database software, and electronic record keeping in a client services setting.

Linguistic Profile

  • This position falls within Carlington CHC’s designation under the French Language Services Act of Ontario.
  • Fluency in English is required.
  • Fluency in French is required at Level (Advanced +) for oral expression/comprehension and Level (Advanced +) for written expression.
  • Fluency in a third language relevant to our client population is an asset.

Salary Range $27.21/hour - $32.01/hour
