Job Summary:

The New York Senior Coordinator will uphold Academy policy and ensure that all Academy members, clients, senior leadership, and guests have a high quality, safe, secure, and memorable experience while attending any number of events in the Tristate area and beyond. The Senior Coordinator will remain professional at all times, while enforcing and maintaining a stance of honesty, integrity, and teamwork. The Senior Coordinator will work in a collaborative, inclusive environment where your thoughts and input will be mandatory as a measure of success.

The ideal candidate will possess strong organizational skills and manage multiple tasks while maintaining attention to detail. The candidate will also have an interest in the art of cinema, awards programs, marketing and publicity and outreach. This position reports to the Manager, Member Relations and Global Outreach and is based in New York.

Duties and Responsibilities:

  • Reports to the Manager of Member Relations and Global Engagement, and works in collaboration with the SVP of Member Relations, Global Engagement and Awards Administration in various capacities during events including, but not limited to administrative tasks, overseeing RSVPS, DCP/print trafficking, tech-check for picture and sound quality, overseeing check-in process, preparing welcome remarks for talent and studios, attending and coordinating screenings, writing/circulating a post-screening recap for NYC office and for Communications team.
  • Other administrative tasks, such as researching, contacting and booking vendors, handling billing/payment, scheduling committee meetings with key Governors and members, circulate meeting agendas, and taking meeting notes to align action items with topics covered.
  • Oversee on the ground logistics at Academy organized screenings and events
  • Answer phones and various emails on behalf of the department
  • Compile research for public programs, including books, magazine articles, interviews, and pull quotes.
  • Ensure precise and effective communication and cooperation with all levels of personnel, Academy members, governors, and leadership personnel in NYC, LA, London and beyond.
  • Oversee committee meeting note taking and reporting
  • Collaborate with The Impact and Inclusion team to assist in developing national educational outreach programs.
  • Check-in guests and monitor film screenings for member experience, tech issues, etc.
  • Coordinate travel logistics to include booking flight/train tickets, booking hotels and car service.
  • Maintain and update database of industry contacts, Academy committees, Membership, vendors etc. to ensure and drive effective collaboration and communication.
 
Position Requirements

Qualifications and Requirements:

  • Excellent verbal and written communication skills.
  • Previous experience working with film organizations prefered
  • Proficiency in Microsoft Office Suite, PowerPoint, AirTable, CRM
  • Availability to work evenings, weekends, overtime, and late hours.
  • Demonstrates emotional maturity and discretion when handling sensitive information.
  • Establish and maintain a professional and genial tone with Academy members, talent, guests, clients, and peers.
  • College courses in Film and Media studies preferred.
  • 1-2 years prior film industry experience preferred.
  • Work quickly and efficiently under high-pressure situations.
  • Possess strong research skills.
  • Stays up to date on latest industry and social media trends.

The expected starting hourly range for this role is $24.08. The actual base pay offered will be determined on factors such as experience, skills, training, location, certifications, education, and other factors permitted by law. Decisions will be made on a case-by-case basis.
