Description

Job Summary:   This position oversees and supports the Building Operations and acts as the direct liaison with coordinating work with vendors. Also provides Administrative support to supervisor, Director and other staff.

  1. Assists the work of office/administrative employees.
  2. Provides employees with guidance in handling difficult or complex procedures in resolving complaints or disputes.
  3. Implement agency/department policy and procedures in conjunction with management.
  4. Train and instruct employees with job duties and arrange for essential trainings.
  5. Prepare and analyze statistical reporting.
  6. Answer client questions and resolve complaints.
  7. Approve order and maintain supplies and equipment and building work orders.
  8. Entering and tracking utility expenditures for approval to Fiscal/Accounts Payable.
  9. Compose and type correspondence, reports, etc.
  10. Post client fee payments; create Statement of Revenue and make bank deposits.
  11. Answer and direct calls accordingly.
  12. Other duties as assigned.
 
Position Requirements

KNOWLEDGE/SKILLS/ABILITIES:  Extensive knowledge of business and office administrative processes.  Excellent verbal and written communication skills.  Competency in a variety of computer software applications.  Analytical ability to gather and summarize data for reports, find solutions to various administrative problems and prioritize work.  Attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.

SUPERVISORY REQUIREMENTS:  No.

MINIMUM QUALIFICATIONS: HS diploma/GED + five years experience as an Executive Assistant, Administrative Assistant or Office Manager responsible for ensuring smooth office operations per agency guidelines.
