Media Management Assistant

Under the direction of the Media Management department Supervisor(s) and Manager, the Media Management Assistant will provide a welcome reception to campus visitors and Media Management customers both on the telephone and in person. This person will ensure the front lobby and reception areas are kept neat and organized. The Media Management Assistant will provide clerical, administrative, and customer service support for the Media Management campus and operations.

1. Greet visitors and customers in a prompt and professional manner. Ensure all visitors, volunteers, clients, customers, and staff follow security protocols by managing sign in sheets and distributing ID badges where required.
2. Answer telephone and voicemail follow-ups in a professional and prompt manner. Address general or customer telephone inquiries and/or ensure requests are forwarded on to the appropriate department.
3. Keep current knowledge of all areas/departments of Opportunity Village campuses to ensure accurate responses to all inquires.
4. Assist customers with walk-in shredding drop-offs. Assist the customer with various tasks including:
a. Instructing customers of the process.
b. Performing and instruction customers of any screening or sign in processes.
c. Collecting credit or debit card payments.
d. Assisting the customer with shredding container retrieval.
e. Assisting the customer with dumping boxes and/ or bags of materials into the container.
f. Weighing the container using the floor scale.
g. Transporting the container to the warehouse / shredding room.
5. Submit Walk-In Document Destruction transaction receipts at end of shift to the appropriate department.
6. Assist the department with customer scheduling requests, service ticket reconciliation, and monthly invoicing.
7. Assist with relaying Media Management sales information and/or forms to current and potential customers.
8. Maintain Media Management files, update daily and weekly attendance reports, and manage additional record keeping and spreadsheets as needed.
9. Assist with maintaining inventory of office and equipment supplies. Receive shipments and assist with reconciling purchase orders.
10. Distribute mail and incoming communications to recipients within the campus or organization.
11. Assist Activities Coordinators and Leads with daily bus duty.
12. Maintain the highest degree of security, safety, and confidentiality based on contractual requirements, AAA NAID certification, HIPAA compliance, OSHA regulations, Opportunity Village policy and procedure, and any other applicable rules.
13. Promote an abuse and neglect free environment. Report suspected Mistreatment to department leadership or Case Manager immediately (per Opportunity Village policy) and no later than 24 hours via incident report, as mandated by state law.
14. Maintain established production metrics and deadlines as they relate to assigned tasks.
15. Perform other duties as assigned.

1. This position has no supervisory responsibilities.


Position Requirements


1. Ability to read, write, and speak English.
2. Computer literate; proficiency in Word, Excel, Outlook, and Power Point.
3. Ability to type at a rate of thirty (30) words per minute or more.
4. Ability to understand, follow, and enforce various compliance, security, privacy, and confidentiality regulations.
5. Must perform duties with a professional and calm demeanor.
6. Ability to work independently and remain on task in a sometimes loud or distracting environment.

1. Required: High school diploma or equivalent.
2. Required: Minimum two (2) years verifiable work experience in an administrative assistant or customer service role.
3. Required: Complete any annual trainings and screenings required for NAID Certification, state and federal compliance, and other Opportunity Village requirements of employment.
4. Required: Current Cardiopulmonary Resuscitation (CPR) and First Aid Certification is required or the ability to supply certification within 90 days.
5. Required: Current Crisis Prevention Intervention (CPI) Certification is required or must be obtained within 90 days.



This role is primarily stationed at the front desk of the Walters campus when performing customer service coverage duties. This area can be busy with heavy visitor and employee traffic flow depending on the time of day. The noise level in this area is low to moderate. When in the warehouse are of the facility, exposure to paper particles and dust is common. The noise level in this environment is moderate to loud.



The physical demands described below are representative of those that must be met by an employee to successfully perform the essential functions of the role. The list below of minimum essential functions is illustrative of the minimums only and is not a comprehensive listing of all functions and tasks performed.

1. Ability to lift and move boxes up to thirty (30) pounds.
2. Ability to move, push, and/or pull full shredding containers weighing up to 200 lbs. preferred.
3. Frequent bending, sitting, standing, pushing, lifting, and walking. Appropriate protective (closed-toed, rubber-soled) footwear required.
4. Ability to sit at a computer for prolonged periods of time.
5. Ability to view a computer for prolonged periods of time.
6. Ability to see, hear, and speak.
7. Manual and visual dexterity to operate office equipment and examine documents, records, and files.
