Student Manager – Craft Center Frontline (University Union)

 

Definition and Purpose

The Student Manager- Craft Center Frontline is responsible for general supervision of the Craft Center Frontline Staff) and all operations involved with Fusion, Craft Center Store Inventory, Craft Sales (fall and spring), and workshops. This position reports to the Coordinator- ASI Programs and is required to be “on call” in case of an emergency in the Craft Center. The Craft Center Frontline Student Manager works directly with the Coordinator - ASI Programs to provide effective supervision of the Craft Center Student Staff including: training, scheduling, and evaluating. ASI employees are expected to provide a safe, enjoyable, service-oriented environment for customers and participants at all times.

In order to maximize the Frontline Student Manager's personal development and ensure that their experience with ASI is broad-based, they will be assigned additional responsibilities beyond their specific program or staff area.

Educational Requirements and Qualifying Experience

  • Must be a currently enrolled student at Cal Poly with a minimum of 6 units. All ASI student staff must have a minimum cumulative GPA of 2.0 at Cal Poly. Graduate students must carry 4 units/3.0 cumulative GPA at Cal Poly.
  • Experience in leadership or management of groups.
  • Previous supervision and training experience preferred.
  • Excellent written and oral communication skills.
  • Organizational abilities and experience.
  • Previous experience planning and scheduling programs preferred.
  • Knowledge of promotion and/or publicity methods.
  • Experience in budget development, implementation, and management.
  • Knowledge of crafts offered in the Craft Center.
  • Experience in handling money and working a cash register.
  • Must hold a CA Driver’s License with a driving record acceptable to ASI’s insurance underwriters.
  • Ability to initiate, establish, and foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere.
  • Ability to establish and maintain effective working relationships within a diverse population and with those from various cultural backgrounds, specific needs, or limitations.

 

Supervisory Responsibilities

  • Directly supervise Craft Center Frontline Student Staff Assist in disciplinary action.
  • Train Frontline Employees in essential duties, customer service, and risk management.
  • Initiate and/or manage staff coaching, discipline, and feedback for staff area.
  • Participate in leadership development training with immediate supervisor and student manager leadership team.
  • Complete weekly administrative duties, including but not limited to service requests, developing agendas, and conducting regular staff meetings.

 

Essential Duties and Responsibilities

  • Provide quality customer service for all staff and customers.
  • Adhere to all ASI departmental policies and procedures.
  • Responsible for proper implementation of Craft Center policies.
  • Provide training for new employees.
  • Participate in recruiting new employees.
  • Plan and direct Craft Center desk staff meetings.
  • Schedule desk assistant and workshop hours within payroll constraints.
  • Delegate responsibilities and activities of staff.
  • Provide ongoing evaluation and feedback of student assistants.
  • Work as a team member and liaison with the ASI full-time staff.
  • Encourage and facilitate positive communication between Craft Center staff and management.
  • Awareness of safety and risk management.
  • Knowledge and oversight of safe tool handling and safety practices in all studios
  • Oversee the special needs of the desk, including office supplies, copies, forms, task lists, magazine subscriptions, and staffing issues.
  • Participate in planning and staffing Craft Center workshops. Act as a contact with organization and club contacts.
  • Collaborate with Marketing Department to oversee all advertising and public relations relating to the Craft Center Craft Sale application and promotion.
  • Regularly post on Craft Center Facebook and Instagram.
  • Review information for the Craft Center website on a quarterly basis and as needed.
  • Manage account procedures in preparation for ASI accounting review, including sales deposits, disbursement authorizations, and purchase order requests.
  • Communicate with vendors.
  • Periodic review of inventory log to determine need for resale orders.
  • Coordinate special event staffing as necessary including the Craft Sale and workshops.
  • Input Craft Classes into Fusion.
  • Develop and implement the Craft Center budget in collaboration with supervisor.
  • Provide quality programming with available funds.
  • In conjunction with supervisor, monitor and regulate all budget disbursements, including payroll.
  • Keep all office and desk files in working order and create new files as needed.
  • Develop and maintain retail stock lists and levels for inventory, ordering, and on Fusion.
  • Responsible for monthly inventory.
  • Produce all necessary paperwork associated with monthly inventory tracking.
  • Produce regular reports, reviews, and assessments of staff area.

 

Specific Requirements

  • Manage the Craft Center retail store.
  • Organize, schedule, and conduct regular staff meetings.
  • Perform monthly inventory.
  • Coordinate biennial Craft Sales.
  • Manage Fusion for resale goods.
  • Manage locker rental program in Fusion.
  • Schedule and coordinate collaborative events and workshops.
  • Process payment request forms as required.

Other Duties and Responsibilities

  • Be trained to perform the desk and cashier duties of a Craft Center Desk Assistant so as to be able to fill in at any time. These duties shall include, but must not be limited to, assistance to the on-duty Frontline Services Student Assistant during peak hours.
  • Perform desk duties as part of normal office hours.
  • Be familiar with evacuation plan for staff area.
  • Attend all mandatory meetings, workshops, and retreats.
  • The person holding this position is considered a "mandated reporter" under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in ASI policy as a condition of their employment.
  • Other duties as assigned.

 

Period of Employment

If hired, student managers must commit to a minimum of 9 weeks of employment over summer quarter.

Employment with this organization is of an "at will" nature, which means that the employee may resign at any time and ASI may discharge the employee at any time with or without cause.

 

Compensation and Hours

Pay Rate: $17.50 per hour; 20 hours per week needed (maximum 20 hours per week while enrolled in academic classes). Maximum 40 hours per week during summer only (if not enrolled in academic classes).
