Membership Services Student Assistant (Recreational Sports)

Definition and Purpose
Under the supervision of the Assistant Director, Recreational Sports, the Membership Services Student Assistant is responsible setting the tone for the member experience by maintaining a welcoming, inclusive, and non-judgmental environment in the Recreation Center. Membership Services Student Assistants must behave with integrity while accurately and efficiently performing the functions of the job. As the face of the Recreation Center, the membership staff is the information and access hub and the team’s behavior, confidence, and professionalism set participant’s expectations for their experience with Recreational Sports and ASI Programs

Educational Requirements and Qualifying Experience
- Must be a currently enrolled student at Cal Poly with a minimum of 6 units. All ASI student staff must have a minimum cumulative GPA of 2.0 at Cal Poly. Graduate students must carry 4 units/3.0 cumulative GPA at Cal Poly.

- Experience with cash handling and accounting functions.
- Previous clerical experience preferred.
- Current CPR/AED and First Aid certification required (from approved agency).
Essential Duties and Responsibilities
- Manage front desk operations from opening to closing each day.
- Sell membership and day-use access to the Recreation Center.
- Sell and complete the registration process for members taking various classes offered by Recreational Sports.
- Perform member account maintenance including membership reconciliation and follow-up.
- Abide by established policies and guidelines regarding eligibility, access, cash handling, etc.
- Effectively troubleshoot to find solutions to unexpected issues.
- Anticipate participant needs and provide relevant solutions or alternatives.
- Handle confidential information according to ASI policies and procedures.
- Facilitate proper document/information retention and security protocols.
- Maintain efficient, clean, and organized workspace.
- Maintain a welcoming and inclusive environment for participants and coworkers.
- Exhibit comprehensive knowledge of all programs and activities hosted by or held in the facility.
- Effectively communicate scheduling or facility changes to participants.
- Act as an ambassador of Recreational Sports and ASI programming with tours, outreach, and events.
- Provide support for special events (Open House, Soar, WOW, seasonal programming, etc.).
- Create/update new member accounts, registrations, process cancellation and refund requests, and audit/reconcile daily sales.
- Ensure accurate and complete documentation and deposits are provided to accounting following each shift.
- Assist participants in completing required annual waiver of liability, and other applicable forms.
- Clearly articulate and ensure understanding of accurate information to participants.
- Display understanding and navigation of the ASI website, online registration processes, and the monthly e-newsletter. Provide member education as necessary.
- Collect and compile data; prepare reports and provide analysis for review when requested.
- Communicate effectively using communication logs, email, and area forms as appropriate.
- Attend staff meetings and trainings as scheduled.
- Maintain an awareness of safety and risk management.
- Perform basic first aid and safety care as required.
- Provide general clerical and office assistance including word processing filling, mailing, and copying.
- Maintain prompt hours, follow attendance policies, and ensure accurate timekeeping.
- Represent ASI culture while on duty.
- Other duties as assigned.

Other Duties and Responsibilities
- The person holding this position is considered a "mandated reporter" under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in ASI policy as a condition of their employment.
- Other duties as assigned.
Period of Employment
Employment with this organization is of an "at will" nature, which means that the employee may resign at any time and ASI may discharge the employee at any time with or without cause.
Compensation and Hours
Pay Rate: $15.50 per hour; 15-30 per week needed. Early morning, late night, and weekend hours required.
Work Hours:
- When enrolled in academic classes, may work up to 20 hours per week maximum.
- When NOT enrolled in academic classes, may work up to 30 hours per work maximum.
- Flexible work schedule to allow for summer vacation time off and working around summer academic classes.
Start Date: 05/15/2023
Hiring to begin working Summer 2023, must be able to begin training on May 15th.
