About the Organization A pioneering not-for-profit affordable housing developer and community programs initiator in New York City, Settlement Housing Fund, Inc. has worked since 1969 to create more than 9,000 apartments through 73 affordable rental and homeownership development projects. Settlement Housing presently owns and maintains 50 buildings with more than 3,100 apartments throughout New York City, with concentrations of housing and services in the Mt. Eden and Fordham Heights sections of the Bronx, Crown Heights, Brooklyn, the Lower East Side, as well as other sites throughout Manhattan. The organization is working on a growing pipeline of new construction and preservation projects throughout the city, and expanding its Resident Engagement Services to meet the housing stability needs of households leaving shelter and other at-risk tenants.



Settlement Housing Fund is the parent organization of The Crenulated Company, LTD dba New Settlement which was created in 1989 with the acquisition of 14 abandoned buildings from the City of New York. New Settlement has evolved into a robust social service organization offering a range of community-based services in education, college access, youth development, arts, workforce development, community organizing, wellness and other key services that provide important resources to the neighborhood's youth and families. New Settlement's success has been achieved through close collaboration with a wide range of educational institutions, housing and community development organizations, businesses, youth development and social service agencies - in the neighborhood, Bronx-wide, across New York and nationally. The programs at New Settlement are supported by local, state and federal government agencies, as well as foundations, corporations, organizations  
Description

JOB SUMMARY: Reporting to the Program Director, the Intake/Data Coordinator oversees all administrative and office management functions of the New Settlement YouthBuild Program. The program serves young adults between the ages of 17-24 with barriers to education and employment. In addition to handling administrative functions, the Intake / Data Coordinator is responsible for handling student payroll, office administration and the handling of data.

Job Duties include but not limited to:

  • Supports and enhances a culture that respects and honors diversity, invests in professional development and encourages self-care.
  • Oversee the intake and student application process, this includes but is not limited to: greeting candidates and providing program information, capturing and tracking applications, conducting preliminary intake interviews and verifying student eligibility;
  • Manage all databases - DataYB, MIS, Portal plus internal spreadsheets
  • Manage student file compliance;
  • Monitor student attendance and performance, maintaining records and data
  • Oversee completion and processing of all W9's
  • Provide monthly data reports to Program Director and Director of YouthBuild programs
  • Track student and staff timesheets and submit both for payroll
  • Manage program schedules;
  • Act as liaison with main office regarding administrative matters, incident reports and building management issues;
  • Order program supplies and goods and maintain inventory
  • Enter information on student's attendance, activities, scores, and outcomes into spreadsheets and other data software as required by New Settlement YouthBuild and its funding sources.
  • Assist with correspondence, filing, phone answering, copying and scanning.
  • Conduct outreach and program marketing as part of the YouthBuild team
  • Act with discretion
  • Perform other duties as reasonably requested.

QUALIFICATIONS & EXPERIENCE:

  • Ability to relate to persons of diverse backgrounds
  • Associate degree or three years of experience in a related field;
  • Previous experience working with youth in a community-based setting, using a positive youth development model;
  • Must be a professional and able to show discretion in maintaining student and staff confidentiality
  • Strong commitment to helping young people succeed in an innovative training program to reorient their lives, nurture their leadership skills, and enable them to make a difference in their community;
  • Demonstrated ability to connect with and be sensitive to persons with criminal court involvement;
  • Experience developing administrative systems is preferred;
  • Excellent oral and written communication as well as presentation skills;
  • Strong organizational skills- must be detail oriented;
  • Sense of humor and nonjudgmental attitude;
  • Ability to work as part of a team and multi-task;
  • Ability to work some evenings and weekends.
  • Bi-lingual: English and Spanish preferred

Employment is at will and employees will undergo 45- and 90-day check-ins during their 90-day probationary period.
