Status: Exempt, Full-Time
Salary: $65,000 - $85,000 Annually

EMPLOYEE OWNER POSITION PURPOSE:

The Facilities Manager acts on behalf of The Management Trust and the Association to ensure proper physical condition of the property.  Effective communication and collaboration with the Club Manager (CM), Director of Food & Beverage and Facilities (DFBF) and the Community General Manager (GM) are vital.  The Facilities Manager operates within the scope of his/her ability and job duties to ensure the safety of him/herself, residents, and the property at all times.  This position plays a key role in the daily experience and wellbeing of homeowners, guests, and fellow employees.

JOB DUTIES AND RESPONSIBILITIES:

  • Oversee the Maintenance Technician team, including, but not limited to: providing direction, ensuring resources are available, provide annual reviews and communicating effectively regarding performance
  • Developing RFP’s, overseeing bid process, making recommendations to board and General Manager. Research, request quotes and write proposal’s for projects to the board for approval
  • Prepares and presents monthly, bi-annual, and annual reports
  • Management and implementation of NPMA CMMS to ensure Club Facility Preventive Maintenance, including maintenance records and inventory
  • Establish and maintain the Facilities’ maintenance manual
  • Management of Facilities-based service vendors
  • Conduct regular safety inspections and quality assessments, initiate responses to emergency situations as needed, report incidents to DFB, CM and GM, and maintain safety inspection records
  • Provide assessment, oversight, and maintenance of association Club areas
  • Ensures immediate repair of Club fixtures reported by Club Manager, Club staff, homeowners, etc.
  • Makes recommendations to Club Manager, General Manager, and Board of Directors on needed repairs, replacement, and capital improvements
  • Ensure scheduled building repairs and maintenance is performed on regular basis in common areas within the Club and building fixtures.
  • Provide assessment of general plumbing related needs and perform regular plumbing maintenance, to include repairs on the main line and sump pump
  • Provide assessment of general electrical related items and perform minor electrical repairs and report larger issues to GM for outside contractor electrical work
  • Inspect all equipment, pumps, heaters, etc. daily to ensure functionality
  • Provide assessment of building equipment and perform maintenance as needed, including, but not limited to: changing/checking filters, emergency generator fuel levels, and fire pump engine oil
  • Coordinate HVAC system shut-offs for building repairs
  • Meet with vendors to review maintenance needs
  • May receive after-hours service requests on an as needed basis (ensure all hours are properly reported)
  • Obtain appropriate approval from The Management Trust or Board of Directors as needed for repairs

EXCEPTIONS:

  • This role is not responsible for maintaining or repairing safety components or major building systems

QUALIFICATIONS:

  • Supervisor experience in managing capital building/improvement projects with more than $250,000 budgets.
  • Work history as first line supervisor overseeing maintenance staff
  • Work history of administrative oversight of maintenance software
  • History of implementing inventory programs for multi-million-dollar facilities.
  • Knowledge to ensure contract compliance and bidding process.
  • Ability to work independently, with little oversight, but with accountability to management to ensure desired results are achieved
  • Attention to detail

  • Commitment to excellence and high-quality customer service
  • Prior maintenance experience with either commercial or large-scale residential projects
  • Prior experience in construction, or work with a general contractor is preferred
  • Comprehensive working knowledge of commercial/large building electronics, HVAC, Fire Sprinkler, refrigeration systems, facility security systems, swimming pool/hot tubs/water feature pumping/sanitizing systems
  • Understanding of principles of building energy efficiency options

SPECIAL POSITION REQUIREMENTS:

  • Must have reliable transportation for travel to and from offsite locations (including to obtain materials)
  • Must have and maintain a valid driver’s license, vehicle insurance, and driving record in compliance with Company policy

ESSENTIAL FUNCTIONS:

  • Use standard office equipment, including: computer, phone, copier/scanner, etc.
  • Use standard maintenance equipment, including: vehicles, power equipment, hand tools, etc.
  • Be stationary or in motion for periods of time
  • Relocate up to (40) pounds

SUPERVISES OTHERS?  IF SO, LIST:

  • Small team of maintenance staff
  • Combination of regular/full-time/part-time/seasonal staff when manager on duty

SCHEDULE & TRAVEL:

  • Sunday-Thursday from approx. 7:00 am-4:00 pm
  • This position may require occasional long hours to meet business needs, including being available for emergency needs
