Job Summary:

The Archivist, Collections works to establish and maintain intellectual and operational control and digital discoverability of collections information and assets in Special Collections. The position supports all metadata initiatives within the department, including ensuring the adherence to current and local standards for best practices and supporting the function of the Collections Management system within the department.

Duties and responsibilities

  • Liaison to Digital Management Services (DMS) for the Special Collections department.
  • Perform quality control of database; apply security policies, coordinate with DMS any large imports of new data, updates of existing data, migration of data between datasets, and ingests of digital and born-digital assets.
  • Facilitate digitization of Special Collections materials for the donors, patrons, and internal users.
  • Create and carry out all data strategies for department for data-entry and export/use.
  • Maintain barcode inventory system that supports real-time access to complex container, location, and identification data via IOS app; oversee the work of a part-time department assistant.
  • Provide operational support for department’s users of Collections management system to include creating Works records, creating workflows, collecting data, creating templates for printing and exporting, supplying analysis and reports.
  • Conform metadata to cross-departmental and company-wide standards as they are updated.
  • Other duties as assigned.
 
Position Requirements

Qualifications and Requirements

  • Master's degree from an ALA-accredited program in library and information science.
  • Bachelor’s degree in film studies, history, art history or a related field.
  • Experience in an archive or library is preferred.
  • Strong computer skills required. Applicants who have worked with a library content management system, including Axiell Collections, preferred.
  • Understanding of the principles of arrangement and description of archival collections and knowledge of archival best practices and current developments.
  • Working knowledge of current descriptive standards, including DACS.
  • Knowledge of American film history.
  • Ability to communicate both simple and complex ideas effectively, both orally and in writing, to people with varying degrees of knowledge of archival theory and practice.

  • Fluent English-language communication and writing skills required. Ability to read other languages a plus.

 

Physical Demands

  • Must be able to sit and stand for periods in excess of 2 hours.
  • Ability to climb stairs and to retrieve and refile heavy boxes from shelving units using ladders and/or stepstools.
  • Ability to lift up to 40 pounds and safely move carts loaded up to 120 pounds.
  • May have to tolerate dusty/dirty materials.

The expected hourly wage range for this role is $23.00 – $25.00. The actual base pay offered will be determined on factors such as experience, skills, training, location, certifications, education, and other factors permitted by law. Decisions will be made on a case-by-case basis.
