Description

JOB SUMMARY:

  • The Staffing Assistant is responsible for facilitating the assignment of associates through collaboration with nursing leadership to ensure that staffing is adequate to meet patient needs.
  • The Staffing Assistant also is responsible for bed control, under the supervision of the Director of Nursing Administration, ensuring patients are placed in the proper care area.
  • The staffing assistant is also responsible for duties to the clinical education department.
  • Duties for clinical education include, but are not limited to, administrating job shadow process, onboarding of students for nursing clinicals, and maintenance of affiliation agreements with academic institutions.
  • This job description describes the general nature and level of work performed for this position.

QUALIFICATIONS:

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:

  • Must be able to type 65 words per minute using word processing software.
  • Numerical ability to calculate and compile statistics.
  • Basic knowledge in use of network computer programs.
  • Basic knowledge in use of office equipment such as copier, printer, scanner, FAX and calculator.
  • Evidence of good grooming and professional conduct.
  • Ability to function well under stressful and/or emergency situations.
  • Evidence of good communication skills, verbal and written.
  • Ability to follow directions accurately.
  • Ability to perform the essential functions of the job with or without reasonable accommodations.
  • Desire and ability to cooperate with and/or under the direction of others.
  • Possesses a sense of responsibility, initiative, honesty, resourcefulness, patience and congeniality.
  • Demonstrates courteous telephone and visitor communication.

EXPECTED BEHAVIORS:

  • Associate can deliver care/service appropriate to patients and customers.
  • Stays abreast of staffing needs throughout day, adjusting accordingly and notifies appropriate leadership of high census and/or issues.
  • Assists with provision of appropriate staffing for evening shift through communication with unit Charge Nurses and calling staff in or off as needed.
  • Ensures that pertinent information regarding staffing is provided to evening and night shift supervisors in timely and accurate manner.
  • Serves as primary contact for scheduling agency.
  • Assures that all required documentation is obtained prior to orientation.
  • Maintains daily staffing sheets.
  • Completes timesheets on Kronos for Quality Resources and Acute Care Services departments.
  • Distributes paychecks for Quality Resources and Acute Care Services departments.
  • Monitors time and attendance and notifies appropriate individuals every two weeks of any associate exceeding time and attendance policy.
  • Reviews, correlates and processes agency invoices for payment.
  • Maintains skill in the use of Microsoft Excel.
  • Inputs data for nursing hour statistics.
  • Maintains database for tracking dates of associates' hiring, transferring and termination.
  • Develops and maintains other databases as requested.
  • Verbal communication is professional in tone and manner.
  • Written and electronic communication is professional and courteous.
  • Provides leadership with timely and accurate feedback regarding associate needs/concerns.
  • Directs associates to appropriate leadership for problem-solving of issues/concerns.
  • Ensures patient and associate confidentiality is maintained by limiting information to appropriate leadership and setting.
  • Accesses information on a "need to know" basis and processes documents in a manner that maintains confidentiality.
  • Effectively manages change and participates in a positive and proactive manner.
  • Promotes teamwork in the department, hospital and community through actions and words.
  • Uses tact and discretion during conflict situations. Advocates "Character First" and consistently role models associated characteristics including flexibility, discretion, patience and self-control.
 
Position Requirements

EDUCATION AND EXPERIENCE REQUIREMENTS:

  • High school education required. Degree, Associates or Bachelors, preferred with courses in English, communication, keyboarding and math.
  • Completion of medical terminology course or proficiency demonstrated by passing of written exam.
  • Functional understanding of computers including use of Microsoft Office, Word, Excel, and PowerPoint. Mandatory Continuing Education: Customer Service, Fire and Safety, Corporate Compliance (including Confidentiality), Infection Control, and education required by regulatory, accreditation bodies, scope of practice, and/or Hancock Regional Hospital.
