Justice Center Receptionist

Overview: This position has the responsibility of carrying out both administrative and reception duties for the Justice Center. The reception duties consist of ensuring that guests are greeted and directed to the appropriate services as needed. On the Administrative end, this position will be responsible for providing administrative support to the Justice Center Staff. This position entails of a lot of communication via in-person, via telephone and electronic communications. This position is vital in portraying a professional tribal image.

Department: Elwha Klallam Justice Center

Reports To: Elwha Klallam Justice Center Office Manager

Work Schedule: Monday-Friday 8:00-4:30

Hourly Wage: $16.25 -

ESSENTIAL FUNCTIONS OF THE JOB

  • Greet clients/customers in a friendly professional manner
  • Take general messages for the staff and assure that they are delivered in a timely manner
  • Schedule and coordinate meeting room and court room reservations
  • Maintain hard copy and electronic filing system
  • Prepare and maintain a supply of forms required by customer (DV packets, statement forms, etc)
  • Perform general clerical duties to include but not limited to: photocopying, faxing, and mailing
  • Format and troubleshoot forms and letters, make custom invoices, format letters, create forms
  • Keep accurate inventory of office supplies and re-order as needed
  • Facilitate and maintain Justice Center Calendar/calendar events
  • Host events, the Receptionist will be responsible for providing set-up and basic hosting duties which includes but is not limited to: prepare coffee, setting up the room for a beverage table, light cleaning of room, checking on event by providing water, coffee, tea, etc.
  • Will also keep the website(s) up to date with current events, classes & trainings
  • Track and handle all incoming email inquiries through the website
  • Track all incoming mail and distribute accordingly
  • Maintain waiting room and court room cleanliness (windows, dusting, etc.)
  • Work with the Information Technology officers to ensure that the Justice Center is up to date with the most current and convenient software
  • Responsible for providing research on various assignments
  • Maintain proper business attire and a friendly, courteous, positive, professional attitude while working with the general public and others
  • Opening and closing of the building
  • Other duties as assigned by management
 
Position Requirements

DESIRED QUALIFICATIONS:

  • Must have a High School diploma or equivalent
  • Must have 1-3 years’ experience in clerical setting
  • Absolute adherence to confidentiality
  • Good personal hygiene and grooming
  • Must possess a valid Washington State driver’s license
  • Ability to communicate effectively with the public and in large groups of people
  • Must be able to work with minimum amount of supervision under stressful conditions
  • Ability to effectively interact with a diverse population who may exhibit a wide range of emotions and behaviors
  • Must be able to follow direction and guidelines
  • Must excel in organizational abilities
  • Proficient in MS Office

PHYSICAL REQUIREMENTS

  • Stamina to work 40 hours per week primarily in an office setting.
  • Ability to reach and squat for filing purposes.
  • Walking and standing; sitting down for long period of time.
  • Able to lift and carry light loads approximately 25 pounds.

OTHER DUTIES AND REQUIREMENTS

  • All applicants must have the ability to successfully pass a criminal background, fingerprinting and UA testing prior to employment.
  • Must be able to comply with Lower Elwha Klallam Tribal Drug and Alcohol Free Workplace

Indian preference in hiring shall apply.
