Hilldrup has an exciting entry-level opportunity for an organized, detail-oriented, and motivated Logistics Associate who under general supervision, provides a variety of administrative support to include reporting, management of documents and communications necessary for the efficient operation of the Logistics Department. The Logistics Associate will work side by side with the Sr. Director of Logistics Services, the Logistics Project Manager, branch management and employees on logistics projects and accounts, specifically within our hospitality division.

Significant Responsibilities and Essential Functions

  • Helps control and manage all documents for projects;
  • Creates and sends out daily reports from project management software;
  • Sends out damage reports from project management software;
  • Sends out weekly inventory reports for each active project;
  • Helps identify and report discrepancies on receiving reports and inventory;
  • Manages group calendar for all projects;
  • Works with branches to confirm services are set in dispatch software;
  • Create and sends out welcome packets for new projects;
  • Maintains file for each project with important documents (agreements, change orders, invoices);
  • Requests and review invoices before we send them out;
  • Creates budget buckets for each project;
  • Registration of orders in Hilldrup Systems;
  • Update and maintain date, notes in Movers Suite and other account systems;
  • Process insurance/valuation certificates;
  • Other duties as assigned.
 
Position Requirements
  • High school diploma or equivalent work experience;
  • A minimum 1 year of relevant work experience in a business office environment;
  • Exceptional organizational ability and strong attention to detail;
  • Ability or performance history of meeting and exceeding objectives and deadlines;
  • Ability to maintain a high level of accuracy and proficiency in all tasks;
  • Ability to prioritize and thrive in a fast-paced work environment;
  • Excellent written and verbal communication skills;
  • Outstanding critical thinking and problem-solving skills;
  • Proficiency using Microsoft Office programs;
  • Ability to work autonomously and as a member of a team;
  • Adept regarding the use of technology;
