General Summary:

 

Under the supervision of the Prosecutor, performs a variety of administrative and clerical support tasks for the Prosecutor’s Office. Incumbents in the classification may have a primary court assignment and are called upon to support or substitute for other office secretaries as needed. The majority of tasks emphasize legal document preparation, file maintenance, scheduling and typing. Employees in this classification are exposed to sensitive issues and confidential information requiring considerable discretion and confidentiality.

 

Essential Functions:

 

  1. Prepares and types legal forms and documents such as criminal and civil complaints, warrants, summons, subpoenas, petitions, declarations, notices to appear, opinion, motions, case briefs and trial notices, as well as reports and correspondence. Proofreads for accuracy and completeness. Must meet daily deadlines and prioritize work.

 

  1. Proofreads and corrects draft and final copy materials for appropriate and consistent format, accuracy of information, punctuation, spelling and grammar.

 

  1. Communicates, interacts and explains situations and issues to difficult customers along with receiving and screening telephone calls; recording messages with telephone and walk-in visitors.

 

  1. Maintains regular communication with all three courts to ensure efficient processing of work, obtaining and relaying information and resolving problems.

 

  1. Prepares calendars and subpoenas for service, manages witness related information, and makes work scheduling adjustments when necessary.

 

  1. Provides data processing liaison for the office, including coordinating computer hardware and software with Prosecuting Attorneys’ Association and performing system updates, assisting attorneys and other staff on system features and new technologies, performing system back-ups, and working with providers to resolve system inquiries and problems.

 

  1. Works cooperatively to develop a balanced workload between position incumbents and monitors workloads for the timely completion of all tasks.

 

  1. Responds to inquiries regarding procedural and operational issues.

 

  1. Logs in warrant requests from police agencies and maintains the electronic and paper records. Fills in for other staff and produces felony and misdemeanor complaints for the court and performs related functions.

 

  1. Records felony case progress through the court system and produces the record for various court offices and police agencies. Ensures that each file is complete when the disposition is rendered by the court.

 

  1. If so assigned, provides administrative support to the Prosecuting Attorney. Assists in compiling financial data for drafting the budget, monitors expenditures and ensures that the proper line item is charged. Responsible for all billings of the office, and maintaining financial records.

 

  1. Serves as secretary to the Prosecuting Attorney, including preparing correspondence to citizens, attorneys, county and state officials, and others. Responds to telephone calls directed to the Prosecutor, schedules appointments, arranges meetings, and performs other secretarial and administrative support functions.

 

  1. Prepares office management functions such as establishing and maintaining filing systems, ordering and maintaining supplies, and related office organizational functions.

 

  1. Assists in processing of case files on appeal, including case transmittal to appellate service and maintaining the appeal files.

 

  1. Maintains time and attendance records and personnel files of the department.

 

  1. Assists the Prosecutor in the collection of maintenance of statistical records of office and prepares monthly and annual reports.

 

  1. Performs other duties as required.
 
Position Requirements

Education:

A high school diploma with supplemental vocational coursework in office management, secretarial science or a related field.

 

Experience:

Two years of progressively more responsible secretarial/administrative experience.

 

Other Requirements:

Experience and proficiency in Microsoft Office Suite applications.
