The mission of Casey Trees (CT) is to restore, enhance and protect the tree canopy of the Nation’s Capital. Casey Trees is looking for a Communications and Events Assistant to fulfill all event logistics, communications, and tracking. Reporting to the Communications & Events Manager, the Communications and Events Assistant is responsible for logistical, communications, and marketing support for Casey Tree’s volunteer and educational events. The ideal candidate is well organized and has a proven ability to independently manage multiple tasks and projects with competing priorities and deadlines. They plan and prepare for events, execute events day-of, are comfortable interacting with volunteers and event participants, and understand how to work with a diverse set of community stakeholders. Additionally, the candidate should be skilled in creating marketing materials and communications to promote events through web, email, and social media.

Essential Functions

The following essential functions are representative of the Communications & Events Assistant including, but not limited to:

  • Maintain constant knowledge of all current and upcoming events.
  • Staff Casey Trees’ volunteer and educational events, often on weekends and evenings, as well as occasionally leading events for the organization.
  • Curate participants and volunteers in the CRM database, including tracking and working with departments on best practices and documenting volunteer hours.
  • Assist in the reporting of event activities, including data reporting and narratives for grant-funded projects.
  • Create and send communications to volunteers and event attendees for all Casey Trees activities, including communications such as schedule changes, invitations, emergencies, and logistics emails.
  • Assist in creating and distributing promotional materials including flyers, brochures, newsletter articles, press releases, email announcements, and web site updates related to all event activities.
  • Collaborate with multiple departments on various projects related to volunteer or class needs.
  • Assist in coordinating logistics for all volunteer, educational classes or events, and special events.
  • Respond to volunteer or event inquiries from all inbound channels (website, email, voicemail, phone, other advertising platforms), input, manage and respond to leads in CRM in a timely manner.
  • Take high-quality photos and video at Casey Trees events, as well as at other various projects, for use in marketing resources.
  • Responsible for all pre-event and post-event duties (setup, breakdown, laundry, waivers, organizing, etc.)
  • Tracks organizational merchandise, packages and mails merchandise to customers.
  • Other duties as assigned.

Compensation and Benefits:

$24-$27/ hour with competitive benefits upon hire, including employer paid premiums for health, dental, vision insurance for employees, paid sick, vacation and holiday time and a 403(b) match after 6 months. 

Working Conditions

The incumbent works in the office and occasionally in the field to manage events.

  • Computers, printers, copiers, telephones, smartphones, tablets, walkie-talkies
  • Automobiles, pickup trucks, vans

Physical Demands:

  • All Casey Trees employees may engage in tree planting/related activities in outdoor environments, year-round in the heat, cold and inclement weather.   • While performing the duties of this job, the incumbent is regularly required to talk, hear, stand, sit, and walk. The incumbent is occasionally required to lift and/or move up to 50 pounds. In the office environment, this position would require the ability to lift files, open filing cabinets and bending or standing on a stool as necessary.

Position Type/Expected Hours of Work

This is a full-time position, 40 hours a week. The incumbent must be able and willing to work evenings, weekends, and extended hours when needed.

Required Qualifications

  • Demonstrated success in planning and executing events.
  • Strong communication, interpersonal skills, and good judgement
  • Able to effectively work with employees across all levels and departments.
  • Excellent writing, copyediting, and proofing skills
  • Highly organized, great attention to detail, and able to stay focused with multiple projects and priorities.
  • Proven ability to work independently to achieve accomplishments and meet deadlines.
  • Proficient in Microsoft Office (Power Point, Word, Outlook), familiar with Eventbrite, and the ability to learn and use new programs/software.
  • Data literate and able to synthesize and put together reports/data from events for final reporting.
  • Able to work regular business hours, evenings and/or weekends as needed.
  • Resourceful and creative team player
  • Valid driver’s license; clean driving record
  • Demonstrated interest in the Casey Trees mission

Preferred Qualifications

  • Proficient with Salesforce CRM, Canva, and Eventbrite event management
  • Ability to create marketing materials with Adobe Suite and/or Canva
