Job Summary: The Service Coordinator is the entry-level position in the series for facilities maintenance. Initially, incumbents at this level
perform work under the direction of the MFM, and are responsible for managing multiple concurrent projects that are typically less complex and
smaller in size, scope, budget, and or impact. In addition, acting as a liaison with maintenance vendors and sub-contractor to ensure smooth
operations of facilities and equipment maintenance; and supporting and monitoring the request and approval process of maintenance services,
essential equipment, and supplies.


Duties and Responsibilities: Coordinates with department management to define project needs and develop project scope and work plans for
projects that are typically less complex and are smaller in size, scope, budget, and impact. Facilities maintenance, including coordinating HVAC
schedules, refrigeration services, coordination with the Janitorial services team per contracted provisions, landscaping scopes, and
maintenance programs with CSVS vendors. Also, keeping track of preventive maintenance tasks, such as work orders, under-scope equipment
orders and maintenance reports, logs, and reporting procedures of facility and equipment maintenance and equipment inventories.

  • Coordinate schedules with various vendors for equipment maintenance, installations, and services projects.
  • Coordinates facility preventive maintenance schedules with csvs contracted vendors, including cleaning services, landscaping, electrical, plumbing, and HVAC systems.
  • Coordinates decision-making at entry-level work activities for facility and preventive maintenance, equipment,and premises building environments.
  • Monitor checks and balances with quality compliance measures with equipment maintenance and performance per manufacturer guidelines, medical standards, and certification reports.
  • Interfaces directly with key staff members or management at the clinic department level to determine the need concerning the facilities preventive maintenance system
  • Coordinates with clinic management and internal department heads to receive, install, coordinate, and monitor the implementation of equipment and services
  • Submits purchase and work orders needed for materials, equipment, and services related to facility and equipment maintenance and repairs.
  • Forwards facility or premises information about critical materials, equipment, services, and supply back-order situations to the MFM or the Materials Purchasing Clerk.
  • Supports and assists the MFM in the supervision and administrative reporting of contracted services, including the performance of utilities, generators, refrigeration, HVAC preventive services, and facility maintenance.
  • Prepares items for return shipment in conjunction with the employee department and scope of work responsibilities in coordination with the Materials Purchasing Clerk.
  • Maintains all equipment utilized in transporting materials in a manner that ensures reliable and safe operation.
  • Performs the facilities duties as assigned by the Materials & Facility Manager.
  • Performs administrative duties per scope of responsibilities, including facilities, equipment maintenance and services.
  • Maintains robust preventive maintenance and demonstrates knowledge of the overall function of the Facility

Service Coordination

  • Communicates clearly and accurately in writing and speaking with contractors, csvs management administrators, and clinical staff
  • Adheres to budgeted cost requirements and efficiently completes duties.
  • Ability to understand & prioritize tasks & handle multiple requests, exceptional administrative support related to the completion of duties.
  • Assist the MFM in managing the scope of facility maintenance & helps coordinate the repairs and maintain the surgical instrument inventories of the csvs clinics.
  • Ability to follow regulations of safety protocols for utilities, and procurement in the working environment.
  • Supports and maintains cultural, safety, and quality needs and minimal performance supervision with job duties.
  • Assist and support MFM with facility environment entry-level performance in material management, equipment, and services, estimated costs, and strategic planning to improve department deliverables.
  • Assess all activities inside the buildings, ensuring that health/safety standards are met and arranging repairswhen needed. Reports to the MFM to coordinate a plan of action
 
Position Requirements

Regulatory Requirements:

  • High school graduate or equivalent
  • Bachelor's degree preferred in business administration, economics or a related field is preferred
  • At least two (2) years of experience with the facilities function in the healthcare environment

Language Skills:

  • Able to communicate effectively in English, both verbally and in writing
  • Additional languages preferred

Skills:

  • Basic computer knowledge
