Student Manager Membership Services (Recreational Sports)


Definition and Purpose

Under the supervision of the Coordinator – Membership Services, the student manager for Membership Services is responsible for managing the front desk operations and membership services student assistants. This position supervises a staff of 15 to 25 and works closely with members of the Recreation Center and the Recreational Sports Leadership Team. This position requires effective communication with staff and participants regarding programs, services, policies, and emergency response.

In order to maximize the student manager’s personal development and ensure that their experience with ASI is broad-based, incumbents will be assigned additional responsibilities beyond their specific program or staff area.

Educational Requirements and Qualifying Experience

  • Must be a currently enrolled student at Cal Poly with a minimum of 6 units. All ASI student staff must have a minimum cumulative GPA of 2.0 at Cal Poly. Graduate students must carry 4 units/3.0 cumulative GPA at Cal Poly.

Supervisory Responsibilities

  • Supervise, schedule, and manage daily operations for staff of 15 to 25 student employees.
  • Assist in developing and conducting annual performance evaluations.
  • Train employees in essential duties, customer service, and risk management.
  • Initiate and/or manage staff coaching, discipline, and feedback for staff area.
  • Participate in leadership development training with immediate supervisor and student manager leadership team.
  • Complete weekly administrative duties, including but not limited to service requests, developing agendas, and conducting regular staff meetings.


Essential Duties and Responsibilities

  • Abide by and enforce all ASI and campus security regulations regarding confidential and private information.
  • Effectively manage applicable internal and external communication outlets.
  • Ensure all area manuals, procedures and resources are accurate and easily available to staff.
  • Display awareness of all ASI and staff area policies; enforce policies as necessary.
  • Maintain the integrity of the ASI philosophy and brand.
  • Produce regular reports, reviews, and assessments of staff area.
  • Exhibit punctuality and dependability by maintaining a consistent work schedule.
  • Serve as an information source of Recreational Sports and ASI programs and services.
  • Maintain professionalism in the workplace including but not limited to attire, behavior, and language.
  • Maintain familiarity with emergency response protocol.
  • Attend all meetings, workshops, and retreats.
  • Provide quality customer service to all staff and customers.
  • Maintain a positive work environment through interaction with staff, peers, and superiors.
  • Demonstrate understanding of effective and efficient resource management.
  • Demonstrate understanding and competency of specific technological resources used by staff area.


Specific Requirements

  • Ability to obtain First Aid and CPR/AED certification from an approved agency upon hire.
  • Effectively and efficiently provide excellent customer service to participants, visitors and guests.
  • Establish and maintain a welcoming and inclusive environment for participants and co-workers.
  • Display understanding and ability to perform all membership responsibilities including daily operations, sales, document management, troubleshooting, account reconciliation, and account maintenance.
  • Provide oversight for all aspects of membership/account sales and maintenance, and member communication.
  • Personally handle account corrections, refund requests, and billing/invoicing.
  • Ensure all forms, agreements, and other membership paperwork is accurate and up-to-date.
  • Oversee and perform all cash-handling duties and accounting processes with accuracy and integrity.
  • Enforce established policies and guidelines in regard to eligibility, access, cash handling, etc.
  • Provide effective training to staff to ensure knowledge and understanding sufficient to anticipate needs and provide relevant solutions and alternatives.
  • Effectively troubleshoot to find solutions to unexpected issues, and provide follow-up training as necessary.
  • Act as an ambassador of recreational sports and ASI programming with tours, outreach events, and marketing.
  • Provide planning and staffing support for special events (Open House, Soar, WOW, seasonal programming, conferences).
  • Collect and compile data; prepare reports and provide analysis for review.
  • Remain up-to-date and effectively communicate facility closures/updates and program changes to staff and participants.
  • Effectively promote additional programs and services to participants to improve sales and participation.
  • Maintain all membership documents and ensure that membership registration procedures are efficient and accurate.
  • Effectively handle complex situations and disruptive or upset members in person, on the telephone and via email.
  • Effectively communicate facility and membership policies through marketing, outreach, sales, etc.
  • Ensure consistent, accurate information is properly disseminated to staff and participants.


Other Duties and Responsibilities

  • The person holding this position is considered a "mandated reporter" under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in ASI policy as a condition of their employment.

Period of Employment

If hired, student managers must commit to a minimum of 9 weeks of employment over summer quarter.

Employment with this organization is of an "at will" nature, which means that the employee may resign at any time and ASI may discharge the employee at any time with or without cause.


Compensation and Hours

Pay Rate: $17.50 per hour; maximum 20 hours per week while attending academic classes. Maximum 40 hours per week when not attending academic classes.

Start Date: 05/23/2023 (20 hours needed weekly)
