The Resource Development Division (RD) develops and maintains a diverse portfolio of beneficial corporate and foundation partnerships and resources to support the long-term sustainability of NeighborWorks and its 250 Network organizations. Resource Development prospects, cultivates, solicits, and stewards relationships that provide ~$10M + annually. The Division is viewed as an industry leader in partnership development and is highly regarded by its external partners.

 

The Communications & Marketing Division (C&M) is responsible for the public face of the organization—visibility, reputation management, visual identity as well as the corporate website and social media. The division also manages the publishing and distribution of the corporation’s premier print and electronic publications, and videos. These include the annual report and specialized e-newsletters such as the NeighborWorks Works and NetWorks (for NeighborWorks organization executive directors, board presidents and their staff). The division also provides graphic design support to other business units throughout the corporation, provides overall content management, site development and design for NeighborWorks America websites, and coordinates the corporation’s Web strategy. This involves establishing and implementing corporate-wide policies, strategies and guidelines, and coordinating audience and strategies that guide the corporation’s Web presence. C&M also coordinates the delivery of related Web-based services to the corporation and the NeighborWorks network.

Position Summary:

This highly responsible and varied administrative support position assists in the work of the SVP of Resource Development and the SVP of Communications & Marketing along with the professional staff within both offices. This position, whose time is split between the divisions, requires considerable initiative, independent judgement, discretion, and a high level of flexibility.

Essential Duties/Responsibilities Resource Development:

  • Serves as the Budget Manager, Purchase Card Holder, and Procurement Task Leader for RD, assisting the SVP in the preparation of annual budgets; analysis of budget to actual spending; tracks and reconciles divisional operating budget and purchase card; manages consultant contracts and compliance with procurement process; orders office supplies.
  • Provides administrative assistance to SVP of RD and professional staff within Division. Prioritizes and maintains calendar management for SVP; prepares for meetings; makes travel arrangements as needed; makes independent decisions regarding prioritization of schedules and rescheduling. Creates executive briefings and confirms logistics, agendas, and registration for other activities such as NeighborWorks Training Institutes, Executive Symposiums, and more.
  • Performs advanced prospect research to identify and qualify prospects to create a sufficient pipeline of prospects supporting the diversification of the partner portfolio. Includes providing support for database/data entry and maintenance at the direction of the Manager of Development Operations.
  • Coordinates divisional strategy meetings and staff retreats and maintains a schedule of events and conferences.
  • Assists the SVP and professional staff within the division on a wide range of special projects.

 

Essential Duties/Responsibilities Communications & Marketing:

  • Provide administrative support to SVP of C&M and professional staff within office (at the SVP’s request), including scheduling meetings, ordering supplies, making travel arrangements, and maintaining subscriptions and memberships.
  • Ensure smooth division operations and support C&M staff as good corporate citizens (e.g., support compliance with internal deadlines related to timesheets, performance management, mandatory training, etc.). Work collaboratively with other divisions to problem solve operational or technical issues.
  • Handle logistics for division meetings, draft agendas, manage invites, handle meeting room and material prep, including food and beverage. Capture, communicate, and follow up on next steps as required.
  • Coordinate division’s scorecard updates and other regular performance reporting. Provide editing and formatting support for division deliverables.
  • Assist with planning quarterly performance meetings, annual strategic budget meeting, and senior manager’s meeting. Select and inspect venues, coordinate services for meetings, and assist with agenda and material prep.
  • Serves as Content Coordinator for Inside NeighborWorks, maintaining and updating C&M information and division documents in partnership with other members of the team, upon request.
  • Assist with special projects as assigned by SVP of C&M

Nature of Work Contacts:

Interacts with NeighborWorks staff and managers of other divisions to coordinate activities, exchange information for reports and provide directives on behalf of the SVPs. Staff of NeighborWorks organizations, funders, prospective funders, and vendors.

 

Fiscal Responsibilities:

Responsible for procuring goods and services, processing invoices, tracking basic expenditures, and divisional operating budget with purchase card accountabilities.

 
Position Requirements

Required Minimum Qualifications:
(a) Education: BA/BS in Communications or relevant field. Will consider relevant professional experience in lieu of a degree.
(b) Experience: A minimum of five to seven years (5 to 7) years 

(c) License: N/A
(d) Competencies, Knowledge, Skills & Abilities:

Proficient in Microsoft Office Suite. Experienced budget manager. Strong organizational and problem-solving skills. Excellent interpersonal communications. Collaborative, team oriented. Adaptability/Flexibility. Attention to detail. Confidentiality and discretion at a high level are required.

(f) Technology: Microsoft Office Suite, Salesforce

Preferred Qualifications:

Able to take initiative. Experience and understanding of the needs/requirements of supporting multiple teams. Intermediate Salesforce Experience. Advanced proficiency in Microsoft Office Suite, especially Excel, Word, PowerPoint, and Prezi. Copy editing and strong writing skills also a plus.

(a) Travel:
up to 10%
(b) Physical/Sensory Demands: high demand, very busy environment with little down time.

(c) This is a hybrid role and the incumbent will report to the office up to 2 days per week.
