GENERAL PURPOSE

The Executive Assistant provides scheduling, administrative and meeting support to the EVP and Chief Operating Officer.  The principal function of the position is to manage the schedule of the EVP and COO.  The Executive Assistant will assist the COO and with coordination and administrative tasks, logistical and programmatic support.

ESSENTIAL RESPONSIBILITIES

  • Prioritizes and maintains heavy calendar management for the COO; makes travel arrangements as needed, making independent decisions regarding prioritization of scheduling and rescheduling, logistics, travel arrangements, agendas and other activities.Interacts with Board members, internal and external executives and assistants, as well as external VIPs and consultants, to coordinate a variety of complex executive meetings. Ensures the COO is prepared for the scheduled meetings.

  • Works closely with the Senior Manager, Executive Office Operations in developing, designing and implementing a wide range of administrative management, procedures and systems necessary to meet the needs of the COO’s office and other activities.

  • Arranges meeting logistics (audio visual, room set up, special accommodations, etc.) for events coordinated by the department, including, but not limited to: on-site and off-site meetings, conferences, all staff meetings and presentations. Identifies meeting content, assigns agenda development and material preparation, identifies issues, and ensures follow up.Brings critical issues to the attention of the Senior Manager, Executive Office Operations with recommendations.

  • Prepares and tracks COO’s travel and expense and time reports.

  • Serves as liaison and central point of information on behalf of Senior Manager, Executive Office Operations with other departments and external organizations; provides information, provides problem solutions and status updates, and assists with the coordination of activities.

  • Assists in the planning and prioritizing the work activities of the team - tracks commitments, reports deadlines and services provided. Makes recommendations on problem resolution to the Senior Manager, Executive Office Operations as required.

  • Conducts research, drafts and edits written reports, and assists with the development of materials for presentations, meetings and projects.

  • Composes, edits and distributes correspondence according to established guidelines.

  • Attends meetings, speaking engagements and symposia, taking minutes, notes, and managing follow-up, as assigned.

  • Assists in the preparation and monitoring of various contractual commitments associated with consultant/contractor support and, including assisting in the implementation and process of the Request for Proposal (RFP) and task orders.

  • Provides assistance to the Office of the Chief Executive Officer as needed.

  • Coordinates and works closely with the CEO’s office and provides support in short term absence of CEO executive assistant.

  • Other responsibilities as required.

  • Members of the Board of Directors.

  • Works directly with vendors and consultants.

 

 
Position Requirements

TRAINING AND QUALIFICATIONS

College level coursework and 5+ years experience supporting at the executive level, 2+ years experience in scheduling or any combination of training, education and experience which provides the following knowledge abilities and skills:

  • Demonstrated experience in scheduling for high level executive and excellent calendar management skills, including the prioritization and coordination of multiple complex executive meetings and experience in scheduling and frequent rescheduling with high level external executives.

  • Demonstrated ability to plan far in advance and think strategically about calendar and time.

  • Demonstrated high level of confidentiality and discretion.

  • Strong commitment to excellent customer service and awareness of serving as the face and voice of the COO.

  • Demonstrated ability to schedule frequent and changing travel arrangements for management.

  • Experience in preparing and tracking expense reports and tracking time for senior level executives.

  • Flexible and responsive.Demonstrated ability to work in very fast paced environment.Enjoys busy, active office environment.

  • Demonstrated ability to perform in a liaison capacity with a diverse group of senior level management staff, program staff, external partners, customers and consultants.

  • Ability to establish and maintain effective working relationship with others, and successfully interact with people at all management and support levels. Ability to clarify assigned tasks and expectations and then work independently to complete assignments.

  • Excellent written and oral communication skills.

  • Strong knowledge of MS Office, including Outlook, Word, Excel, and PowerPoint.Eagerness to test and learn new applications and find solutions to improve scheduling and administrative procedures.

  • Knowledge of and or the ability to acquire knowledge of the philosophy, purposes, and programs of NeighborWorks America.
