Repairs Coordinator/Administrative Assistant

General Description of duties: The Repairs Coordinator/Administrative Assistant is to be present from
7:30am-5:00pm, Monday through Thursday (excluding lunch and breaks) to perform duties.

EXAMPLES OF JOB DUTIES:

REPAIRS/FACILITIES/ADMINISTRATIVE DUTIES:

  1. Monitor repairs email and requests, coordinate and schedule facility maintenance, working with maintenance personnel, follow-up with agency employees, tracking and documentation of services and, authorization of related invoices in compliance with agency policy.
  2. Regular visit and review of properties operated by CCA to document, and follow-up on any needed repair. Examples of items to review include, but are not limited to:
  • Condition and cleanliness of property.
  • Carpet, tile, paint, window coverings, cabinets, appliances, smoke/CO2 detectors, and furniture in good condition and working order.
  • Falling or tripping hazards.
  • Proper landscape maintenance (yard, fencing, etc.).
  1. Select and onboard vendors, ensuring that proper documentation is obtained prior to commencement of work.
  2. Maintain vendor files.
  3. Coordinate and assist with the physical setup of new residential placements.
  • Order/transfer utilities (Xcel, Comcast, waste disposal)
  • Work with Program Managers and participants to select and order furnishings,  dishes, linens, and supplies.
  1. Office setup for new employees.
  2. Liaison with property managers for leased facilities.
  3. Conduct informal HUD inspections (training will be provided).
  4. Order, setup, and track company cell phones.
  5. Assist with supply inventory management, orders, and related pickup.
  6. File, create forms/documents, prepare presentations, run errands.
  7. Assist as needed with front desk coverage for breaks, lunch, vacation, and emergencies.
  8. Other duties as assigned.

 

EXPECTATIONS FOR COMPLETION OF JOB DUTIES:

  1. Display professional appearance and behavior, interacting with other staff, clients, parents, and service providers in a cooperative and friendly manner as observed by supervisor.
  2. Punctual and dependable at reporting to work.
  3. Perform job duties with a positive attitude, responding to peak work period without loss of quality, accuracy, and thoroughness.
  4. Uphold client rights by following client rights and confidentiality guidelines and agency abuse, neglect, mistreatment, and exploitation policy daily.
  5. Provide positive role model to staff and clients always, avoiding use of profanity or derogatory slang, arriving to work in proper attire, modeling good problem solving and social interactions.
  6. Attend regular and as scheduled meetings and training as assigned.

 

 
Position Requirements

GENERAL REQUIREMENTS: High School Diploma or GED. Previous experience in related field and/or position preferred. Highly organized, attention to detail, ability to prioritize tasks/projects, proficient with Microsoft Office software, and good business communication skills, both verbal and written. Must be able to prioritize job duties, and work independently, as well as the ability to participate and contribute as a team member. Reliable vehicle and valid Colorado driver’s license and insurance required.  

Supervision Received: Works directly under supervision of the COO/CFO, receiving instructions and
guidelines from same. Has freedom to plan and organize work assignments within guidelines of
program structure. President/CEO available to resolve unusual work problems.


Position Category: This position is non-exempt as defined by the Fair Labor Standards Act
(FLSA).
