Description

The Administrative Assistant I Travel Support will assist with all areas of administrative travel support.

Additional Responsibilities Include, but are not Limited To:

  • Knowledge of requirements for official passports application and procedures, review applications for correctness, and appropriate documentation needed, i.e. TDY orders, proof of citizenship, etc.
  • Reviewed the Foreign Clearance Guide (FCG) for visa requirements and passport requirement per country as it pertains to DOD Military, DOD Civilian personnel and Contractors.
  • Interpreting and explaining the requirements for obtaining a passport and advising on sources and type of documentation needed.
  • Communicating with the DTRA Passport Office regularly for status updates of passport applications.
  • Maintain a file of official passports for CTR personnel, utilizing physical file and electronic file tracking of passports and passport information within traveler profile and track visa requests and visa information within the Automated Trip Request Information Process (ATRIP)
  • Keep and maintain electronic copies of all submitted visa applications from Cooperative Threat Reduction (CTR) personnel, copies of visas issued to Cooperative Threat Reduction (CTR) personnel, passport copies of all Cooperative Threat Reduction (CTR) personnel and blank visa applications.
  • Interpreting and explaining the requirements for obtaining visas and advising on sources and type of documentation needed to provide to obtain the visa.
  • Reviewed visa applications before submission to courier for correctness and ensure all proper supporting documentation is provided, i.e. photos, invitations, itinerary etc.
  • Drafting and sending hand carry letter requests to Special Issuance Agency (SIA) to obtain hand carry letters to accompany official visa application requests.
  • Drafting business letter and sending to PM for signature to accompany all contractor visa application requests.
  • Communicating with courier regularly to coordinate drop off completed visas (passports) and pick up of application packages for submission to the embassy. Gathering estimated completion dates, proof of submission to embassy to update ATRIP and communicate to traveler.
  • Communicating any issues regarding passport applications and visa applications to leadership when appropriate for further action by leadership.
  • Support management team in developing metrics and strategies for improvement.
  • Assist in coordinated travel support services for both the A&AS staff and CTR staff, as well as other personnel supporting CTR as directed, to include: booking of airline tickets, hotels and rental cars; preparation of government travel orders, processing and maintenance of passports and visas, and processing of official country clearance cables in full compliance with the DOD foreign Clearance Guide and Classified Supplement, and with Combatant Command (COCOM), Office of the Secretary of Defense (OSD), Department of State, Embassy and DTRA rules and timelines.
  • Assist in preparing briefing material for senior leadership.
  • Assist, track, and manage various projects.
  • Document best practices across all programs.
  • Assist with taskings and data calls and coordinating responses.
  • Report on monthly metrics for visa applications for leadership.
  • Assist with proposal development, if necessary.
  • Perform other duties, as assigned.
