DEFINITION

Under direction, compiles and maintains personnel records.  Compiles reports from employment records; files employment records; searches employee files and furnishes information to authorized persons.

CLASS CHARACTERISTICS

This is an entry level position designed to provide general exposure to all disciplines within the DPO function.

This class differs from Generalist - People Operations in that its main responsibility is transactional in that it is to maintain personnel records and everything associated, therein, providing general administrative support.

EXAMPLES OF DUTIES (ILLUSTRATIVE ONLY)

The duties listed below are intended only as illustrations of the various types of work that could be performed. The omission of specific statements of duties does not exclude them from the position if the work is similar, related or a logical assignment to this class.

  • Assists DPO staff by processing, verifying and maintaining documentation related to personnel activities such as staffing, recruitment, training, grievances, performance evaluations and classifications.
  • Assists DPO staff by performing data entry into HRIS system of all pertinent information for each employee such as demographic information, pay changes, promotions, evaluations, etc.
  • Tracks and processes a variety of data such as driving credentials for employees; anniversary acknowledgements; job posting in HRIS and via external job boards; reference checking processes and verifications of prior employment/eligibility for employment; facilitates the administration and scoring of applicants testing processes, and assists with interviews.
  • Assists in processing of new-hire paperwork and setting up files, New Employee Orientation, ID Badges, and coordinates ordering of supplies.
  • Provides administrative support, backup reception, and phone support to executive administration.
  • Provides customer service assistance and information regarding general information, open positions, policies, benefits, pay issues and procedures to employees or job applicants.
  • Driving as required using personal vehicle.
  • Maintains clean driving record as well as currency of driver’s license and vehicle insurance/registration.
  • Attends staff meetings unless approval for non-attendance is secured from the Human Resources Manager or Director.
  • Meets the standards set for performance in all aspects of job duties.
  • Meets the standard for consistent attendance (not more than a 5% absence rate per month) by reporting to every scheduled shift on time and ready to work and by the judicious use of paid sick leave and avoiding any situations resulting in the need to dock pay for time not worked.

Knowledge Of:

  • TPCP procedures, rules and regulations and related documents governing DPO;
  • Federal and state fair employment laws, regulations and related legislation including Equal Employment Opportunity, Americans with Disabilities Act and FEHA, Fair Employment Act, ADEA, FMLA/CFRA, etc.;
  • TPCP DPO policies and procedures and labor code provision;
  • TPCP organization, operations, policies and mission;
  • Principles and practices of sound business communication;
  • Applicant Tracking and Human Resources Information Systems; and,
  • Standard business software, including word processing and spreadsheet programs

Schedule: Monday - Friday 8:00 am - 5:00 pm

Compensation: $21.00 - 22.73 per hour with a $1000 sign on bonus

 
Position Requirements

MINIMUM QUALIFICATIONS AND CERTIFICATIONS & LICENSES

Education, Training and Experience

A typical way of obtaining the required knowledge, skills and abilities outlined above is through graduation from an accredited college or university with an associate degree in business administration, human resources, industrial relations, psychology or another related field; or at least one year of experience within a formal human resources program performing general administrative duties.  Additional professional/technical human resources experience may be substituted for the education on a year for year basis.

Licenses; Certificates; Special Requirements:

  • California driver’s license & current vehicle insurance/registration 
  • Reliable means of transportation capable of passing vehicle safety inspection if more than five years old excluding all modes of two-wheeled transport inclusive of bicycles, mopeds and motorcycles.
