Description

JOB SUMMARY:

The Facilities Director is responsible and accountable for ensuring that all YWCA Minneapolis properties, facilities and equipment are in working order. Their primary responsibility is to plan, implement and maintain a comprehensive facilities program including the development and management of projects, repairs, maintenance and budgets. The position is responsible for the development and implementation of facility policies, procedures and/or practices that will ensure compliance with all federal and state statutes and regulations as well as meet the needs of the YWCA community. This position collaborates with stakeholders to understand their ongoing maintenance requests, develops annual building maintenance budgets, and creates/implements a multi-year preventative maintenance program for each property. The position requires strong communication, interpersonal, training, and leadership skills.
 

ESSENTIAL FUNCTIONS:

Provide overall leadership, supervision and vision for YWCA Minneapolis facilities:

Manage the overall security and safety of the facilities and grounds.

Oversee maintenance and improvements on buildings, equipment, parking lots and grounds; administer the organizations short and long-term repair needs.

Review and negotiate various annual maintenance and security contracts.

Review and negotiate various supplies, materials and equipment contacts.

Hire and direct maintenance requests with third-party vendors.

Collaborate with internal stakeholders to get clarification and direction on their facility maintenance needs.

Collaborate with internal stakeholders to develop annual building and ground maintenance & annual and multi-year capital budgets.

Create and implement a multi-year preventative maintenance program for all YWCA Minneapolis properties including HVAC, electrical, plumbing, capital improvements.

Oversee all preventative maintenance, repairs, cleaning, and upkeep. Maintain a continuous program of inspections to stay within all codes and safety requirements.

Manage the purchasing/leasing of furniture, fixtures, and equipment.

Direct the management of all electrical, mechanical, structural, and energy management systems.

Review plans and specifications prepared by architects and engineers. Inspect and supervise repairs, alterations, and improvements.

Coordinate building closures and openings.

Coordinate, develop and maintain organization wide safety preparedness plan.

Plan, develop and implement policies, procedures and practices that are in concert with YWCA mission, vision and values and ensure compliance with all federal and state statutes and regulations.

Facilitate the creation and upkeep of operational standards and procedures, ensure alignment with YWCA mission, vision and values.

Develop and monitor budgets to ensure financial resources are available to meet facility, safety and security needs.

Monitor supplies, payroll, cost of goods, and expenses for each facility on monthly/quarterly/annual basis.

Demonstrate a high level of customer service and professionalism with both internal and external customers.

Provide Leadership and supervision:

Supervise and direct all Maintenance Engineers and Custodial Staff.

Interview, hire and train employees; plan, assign and direct work; appraise performance; reward, discipline and dismiss employees; address complaints and problem solve.

Establish performance standards, job descriptions and job expectations for direct reports; ensure continuous growth through training, developing, direction, assessing performance, and providing feedback.

Provide effective individual performance evaluations and recognition programs and awards.

Facilitate staff development that aligns with operational plans and YWCA mission and values.

Ensure compliance of employee health and safety.

                                                                                           

RELATIONSHIPS:

This position reports to the Chief Financial & Operating Officer of YWCA Minneapolis.  The incumbent will interact with the senior leadership team, direct reports, Human Resources, IT, Business office, YWCA Managers and Directors and community leaders.

QUALIFICATIONS:

A minimum of 6 years of recent professional experience in facilities management, physical plant maintenance, construction management or a related field, including developing and managing budgets and projects. A 2-year diploma or degree in a facilities management, construction trades or related field can account for 2 years of this experience.

A minimum of 2 years of experience supervising trades and maintenance staff; planning and directing major repairs, remodeling and new construction; and directing the work of contractors.

Ability to communicate effectively using verbal and written communication skills in working with customers and staff in the coordination of projects, resolution of problems and motivation of employees

Fiscal management skills to effectively manage projects

Excellent interpersonal, oral, presentation and written communication skills.

Strong organization, planning and prioritization skills. 

Strong leadership, coaching and facilitation skills. 

Strong problem-solving and decision-making ability. 

Proven ability to work with a variety of cultures, backgrounds and perspectives.

Proven ability to manage conflict.

Demonstrated experience in Microsoft Office Products.

First Class C Boiler Engineer License

Certified Pool and Spa Operator

Preferred Qualifications

Bachelor's degree in facilities management, construction management or related field

Knowledge of general construction in order to manage new construction and remodeling projects

Ability to interpret technical plans, blue prints, drawings and models

Experience with budget administration and planning, long-term capital improvement projects

Knowledge of HVAC, chillers, steam boilers, and energy management systems

Knowledge of general grounds maintenance

Experience with purchasing contracts

Knowledge of building, fire, and environmental codes, Occupational Safety and Health Administration (OSHA) rules and regulations, safety practices and applications

PHYSICAL DEMANDS:

Must be able to sit, stand, walk, reach, climb and lift up to 50 pounds.

Must be able to work on a computer for extended periods of time

Travel to various YWCA of Minneapolis sites
