Admin Support Specialist (Partial Care)

Looking to hire an Administrative Support Specialist for our Partial Care Program


Job Summary:
You will greet the public, clients, and visitors to the agency, operate a telephone system to answer incoming calls and direct callers to appropriate personnel, and provide clerical assistance, in person and virtually, by performing the duties below.


What You Will Do:

  • Provide administrative and clerical support to management, staff, and clients, including in-person or virtual administrative tasks such as typing, record-keeping, maintenance, filing data collection, billing preparation, insurance verifications, report preparation, consumer contact log tracking, and reporting and data entry. 
  • Define problems, collect data, establish facts, and draw valid conclusions
  • Serve as a greeter and virtual/in-person check-in for client appointments
  • Answer the telephone and provides routine information.
  • Assist clients (over the phone and in person) by communicating positively, friendly, and professionally.
  • Verify, review, and update demographic and insurance information in the agency's electronic health record
  • Verify insurance benefits and eligibility and updates benefits in the agency Electronic Health Record
  • Schedule appointments, conduct appointment confirmations, reminder calls to patients, and enter appointment dates and times into a computerized scheduler and case conference organization.
  • Collect payment at the time of service or collect past balances from the client, virtually or in-person
  • Maintain fax machines, assist users, send faxes, and retrieve and route incoming faxes.
  • Present information in one-on-one and small group situations to customers, clients, and other employees of the organization

What We Need to See:

  • High School diploma (HSD) or General Education Degree (GED) and
  • Two years minimum receptionist experience in the medical or mental health field
  • Six months to 3 years of experience in administrative/billing/medical office experience
  • A valid Driver’s license required and must be insurable by the agency’s automobile insurance.

Position Requirements

Qualifications

  • High School diploma (HSD) or General Education Degree (GED) AND
  • Two (2) minimum receptionist experience in the medical or mental health field
  • Six (6) months to three (3) years of experience in administrative/billing/medical office experience
  • Strong technology and customer service skills
  • The ability to multi-task and handle heavy work volumes as well as work independently in different locations, if needed.
  • Excellent verbal and written communication skills, PC/technology proficiency, must be skilled in Microsoft Office applications, such as Outlook, Word, Excel, etc.
  • Valid Driver’s license required and must be insurable by agency’s automobile insurance
