Description

The Academy Museum of Motion Pictures advances the understanding, celebration, and preservation of cinema through inclusive and accessible exhibitions, screenings, programs, initiatives, and collections. Welcoming visitors from Los Angeles and around the world, the Museum works in active partnership with motion picture artists and specialists, scholars, staff, and diverse communities to contextualize and challenge dominant narratives around cinema, inspiring discourse, connection, joy, and discovery.

Reporting to the VP of Registration and Collection Management, the Institutional Archivist will develop and manage the Museum’s Archive. The position will strategically plan and execute accessioning, cataloging, preserving, and storing an archive that includes both digital and physical material. The position will also work with Academy databases, digital asset systems, and storage facilities in accordance with industry best practices.

You Will:

  • Develop and implement policy and procedure guidelines for the Museum Archive, ensuring best practice and adherence to legal and ethical standards in the administration of all aspects of the Archive.
  • Work with all Museum departments to ensure adherence to established retention schedules and best archival practices.
  • Develop and implement metadata conventions, consistent file structures, naming conventions, and format standards to ensure the long-term accessibility of physical and digital materials.
  • Perform original cataloging using best practices and standards including DACS, RDA, EAD, and various controlled vocabularies.
  • Do regular assessment of and planning for digital and physical collection storage.
  • Provide stewardship of Museum Archive material utilizing preservation and storage best practices.
  • Develop a system for internal research requests and eventually public research requests.
  • Work in tandem with the Records Office to help implement a record management program for the Museum including creating retention/disposition schedules for active/inactive records.
  • Help create and uphold policies and procedures for the maintenance and access of records.
  • Create and maintain finding aids.
  • Assist the Records Office with advising Museum staff on proper record-keeping practices and procedures, especially regarding vital records and disaster planning.
  • Lead cataloging and processing efforts for both backlog and new acquisitions, as well as quality control of asset metadata.
  • Understand the components and complexities of a digital asset management system and collaborate on uploading/downloading material to a digital asset management system with other Academy departments or third parties.
  • Assess Archive material and seek opportunities to effectively manage the footprint of physical and digital material.
  • Develop a plan for fulfilling internal research requests and potentially public, including access to material, loan, tracking, and return of the materials. Assess and coordinate requests for digitization of archival material.
  • Identify, collect, analyze, and communicate statistics for Archives as requested.
  • Keep current with the media asset management landscape and other developments in archiving digital material.
  • Lead efforts to develop systems to meet the needs of the Archive which may include liaising with other Academy departments to plan and manage database enhancements and/or new system implementations.
  • Supervise the work of interns, contractors, and staff.

     

 
Position Requirements

You Have:

  • A bachelor's degree required; a graduate degree in Library and Information Studies from an ALA-accredited library school, Museum Studies, or other relevant disciplines strongly preferred.
  • Must have a valid driver’s license and be willing to travel when needed to off-site storage or as a courier.
  • 5+ years of experience working with archives including the acquisition, organization, cataloging, and processing of archival collections. Experience working in archives and records management in a cultural heritage or educational setting is a plus. 
  • Experience processing, cataloging, indexing, and preserving physical and digital materials using authoritative standards.
  • Strong technical skills and extensive experience with a wide range of operating systems, storage systems, file types and digital asset management systems, collection management systems, or other related databases.
  • Working knowledge of data structure standards and metadata schema such as Dublin Core, VRA, IPTC/XMP, and RDA.
  • Knowledge of digital preservation methods and best practices for long-term information retrieval.
  • Familiarity with current archival issues and trends, particularly for descriptive standards, electronic records, and digital preservation.
  • Experience working with large collections of born-digital material desired.
  • Strong written oral and communication skills.

Physical Requirements:

  • Ability to lift, pull or push up to 30 lbs. when needed.

The expected base salary range for this role is $80,000 to $85,000. The actual base pay offered will be determined by factors such as experience, skills, training, location, certifications, education, and other factors permitted by law. Decisions will be made on a case-by-case basis.
